The Field Representative II, Guest Relations will collaborate closely with office administration to ensure a positive external presence for the organization. This position involves various tasks, including greeting outside callers and clients, managing conference room scheduling, preparing for key client visits (e.g., signage, workspace setup), and arranging client travel when necessary. Additionally, this individual will assist in organizing group company activities, such as parties, department meetings, and other functions.
Job Duties and Responsibilities- Coordinate catering for agency meetings in collaboration with support staff and caterers.
- Maintain and update the Support Staff database.
- Assist with audio-visual equipment for agency and client meetings.
- Provide backup support for Team Assistants as needed.
- Assist with various departmental or non-client-related business activities when appropriate.
- Perform other duties as assigned by management.
- High school diploma or equivalent required.
- 1-3 years of experience in the field or a related area.
- Outstanding organizational and coordination skills.
- Demonstrated customer service skills.
- Good PC skills and ability to use audio-visual equipment.
- Strong problem-solving skills.
- Typically, the role is performed in an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
- Work assignments are diverse, requiring the interpretation and application of complex materials, data, and instructions. The role involves preparing, providing, and conveying diversified information.
