Job description overview: Develops overall program strategy and drives program operations for all Ridge Area Arc’s office and facilities. Office administration duties include, but not limited to facilities, fleet maintenance, purchasing, writing checks and paying bills for consumers, manage agency bank accounts, policy manual, FDOT grant, maintains proper insurance, and ensures quality regulatory compliance with all applicable local, state and federal regulations. Creates and maintains a positive culture across the agency.

  • Inspire and drive a shared vision for the development of services for adults with disabilities
  • Drive the team in a comprehensive response to challenges and new business opportunities
  • Strategically envision and implement effective responses to changing future needs
  • Provide a setting that encourages the balance of business obligations with best practices in service provision across all programs
  • Handle routine situations and complete job functions in making decisions with unplanned obstacles or situations. Gather information to evaluate and maintain good judgement in decision making
  • Approach each day and decision with a mission-driven, person-centered mindset
  • Maintain open communication at all times with supervisor, staff, consumers, parents, support coordinators, regulatory agencies, vendors, our community and other organizations
  • Ensure that all consumer services meet the standards established by all regulatory agencies (AHCA, APD, DCF, OSHA, Health Department)
  • Monitor your department to stay within budget means. Ensure all budgeted revenues are maximized and/or replaced with an additional revenue source
  • Ensure:
  • Complete compliance with local, state and federal regulations
  • Operations are providing services in a smooth cohesive manner that meets the needs of the agency
  • Appropriate agency recordkeeping
  • Maintain internal and external reporting systems in the most cost and time efficient manner, while holding individual consumer needs as a priority
  • Assist with ascertaining Supported Living consumer bills are paid on time and as funds allow
  • Other duties as assigned

General Responsibilities:

  • Follow rules, regulations, policies and procedures of Ridge Area Arc, Inc. and the department as defined in the Arc policy and procedure manual
  • Complete required training at the beginning of employment and during employment, while ensuring all staff meets their training requirements
  • Present yourself well as an employee of Ridge Area Arc, Inc. by being a good role model for our consumers (i.e. hygiene, attire, acting with integrity)
  • Contact the Department’s Central Abuse Hotline at 1-800-96ABUSE immediately for any knowledge of or having reasonable cause to suspect that a consumer has been or is abused, neglected or exploited
  • Hold information obtained through employment regarding Arc business, Arc consumers and employees in strict confidence
  • Ensure the Arc’s facilities and programs meet health and safety standards. (a) Report all incidents, injuries and exposures to your supervisor. (b) Identify, report and correct if possible unsafe conditions and actions
  • Work a flexible schedule as needed and contribute to a positive atmosphere in the program
  • Act as on-call contact for any major incidents relating to our facilities. Deploy maintenance staff or vendors as necessary
  • Provide training during group home meetings, ADT meetings and In-Service trainings as needed. Show initiative by seeking training opportunities and/or presenting ideas to improve services at the Arc
  • Will perform specific duties as assigned by Supervisor, i.e. attending meetings, serving on committees, providing/attending in-service and off-site trainings, etc.

This position reports directly to the Chief Executive Officer. The Office and Facilities Manager will perform day-to-day duties with minimum supervision.

Qualifications:

  • High School Diploma required
  • Experience with office management, building and vehicle maintenance preferred
  • Must pass level 2 background screening upon employment, as described in Chapter 435, F.S. including local criminal screening, drug testing and fingerprinting
  • Must possess clean driving record (3 years) as supported by a Motor Vehicle Report (MVR)
  • Must be a legal driver in the state of Florida
