POSITION TITLE: Business Office Manager
POSITION SUMMARY: The Business Office Manager is directly responsible for greeting visitors, monitoring the
telephones, alarm, and intercom systems. The Business Office Manager is also responsible
for typing, filing, copying, payroll, AP/AR, computer duties and other clerical support
functions as assigned by the Executive Director.
FLSA STATUS: Non-Exempt
REPORTS TO: Executive Director

Essential Functions:

- Monitor and intervene as needed to expedite billing and collection procedures to maximize revenue and cash flow.
- Analyze collections on a monthly basis.
- Establish controls to assure accuracy and timeliness of month end close.
- Record daily collections of cash receipts and deposit to appropriate account.
- Generate timely billing of payor classes.
- Updates computerized census system daily.
- Maintain an accurate accounting system for all payables.
- Process invoices for payment and assure accounts payable accruals are timely. Maintain accurate personal needs
accounts for patients, in accordance with applicable state and federal regulations.
- Receive and responds to inquires concerning Resident accounts.
- Produce statements of patent account activity for responsible parties.
- Maintain and reconcile petty cash accounts for the community.
- Maintains inventory control system of all office supplies and ensures security of equipment within the business office.
- Maintains familiarity with fire safety and emergency procedures detailed in the fire and disaster plan and be able to
assist in transferring residents to a safe location in the event of an emergency.
- Manages meal ticket sales.
- Performs clerical duties including, but not limited to, typing, copying, filing, payroll, mailing, and other light office
work as assigned by the Executive Director.
- Assures the lobby area, reception area, and entry are kept clean, neat, and orderly.
- Notifies appropriate staff of unsafe situations within the building or grounds.
- Performs other tasks as assigned by the Executive Director.

- Ability to read, write and speak English fluently.
- Ability to speak clearly on the telephone and maintain pleasant presence and tone of voice while interacting with visitors,
residents, or staff.
- Maintains acceptable attendance record; notifies supervisor if late or unable to work, is able to work flexible hours to
meet the requirement of the job.
- Requires minimal supervision.
- Is accurate, dependable, neat, and thorough in assigned tasks.
- Organizes and utilizes time appropriately; sets priorities to accomplish assigned tasks.
- Displays mature behavior and attitude in speech and action; demonstrates consistently pleasant demeanor, tone of voice,

- Keeps resident information confidential; respects resident rights; respects privacy and right to self-determination of
residents.

community information confidential.

Required Education and Experience:
High School graduate preferred. Clerical, computer experience, and telephone answering skills required. Good public
relations skills.

Work Environment:
This job operates in a professional office environment, as well as in an assisted living/memory care environment. This role
routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This
job also operates outside of the community, traveling to external marketing sources on a regular basis.

the essential functions of the job.
While performing the duties of this job, the employee is regularly required to talk and hear. Lifting of up to 30 pounds
required occasionally.
This position can be very active and requires standing, walking, bending, and stooping. Specific vision abilities required by
this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
