Ries Eyecare is seeking a skilled and motivated Optometric Coordinator that is a quick learner to join our dynamic team. This dual role combines the responsibilities of an Optician with Administrative Service. The ideal candidate will provide excellent patient care by assisting in the fitting, sales, and dispensing of eyewear, as well as supporting the Optometrist with clinical tasks. You will be responsible for scheduling appointments, managing patient inquiries, verifying insurance, and assisting with administrative tasks to ensure smooth office operations. Strong communication and multitasking skills are essential for this role. Key Responsibilities:

- Assist patients in selecting eyeglass frames that fit their needs and personal style.

- Advise patients on lens options, take accurate measurements, and dispense eyewear to patients, ensuring proper fit and comfort.

- Adjust and repair eyeglasses and frames as necessary.

- Maintain an organized inventory of frames, office supplies, and other optical products.

- Provide patients with clear instructions on eyewear care and maintenance specifications and follow up with patients to ensure satisfaction.

- Assist the optometrist with patient intake, including obtaining medical histories and performing preliminary tests such as visual acuity, etc.

- Operate diagnostic equipment (e.g., autorefractor, tonometry, visual field testing, etc) to gather essential data for eye exams.

- Record and input patient information into the electronic medical record (EMR) system.

- Prepare patients for eye exams by ensuring they understand procedures, eye care products, and answering questions.

- Manage patient flow to ensure smooth and timely appointments.

- Greet patients with a friendly and professional demeanor, verify personal and insurance information, and ensure they are registered accurately in the system.

- Schedule and confirm patient appointments, including eye exams, contact lens fittings, and follow-up visits. Coordinate with Management to ensure the timely flow of patients.

- Verify patient insurance information, process claims, and assist with any billing inquiries. Ensure accurate submission of insurance paperwork to maximize reimbursement.

- Assist with general office tasks such as answering phone calls and emails promptly, filing, faxing, and organizing patient records.

- Assist in processing patient payments, co-pays, and balances, and ensure all transactions are recorded accurately.

- All other duties as needed to help the office be successful

Qualifications:

- High school diploma or equivalent; additional certification or training in optometry, optical technology, or a related field preferred.

- Previous experience in customer service, preferably in an optometry or healthcare setting.

- Basic knowledge of insurance procedures, billing, and coding.

- Excellent organizational and time-management skills, with the ability to manage multiple tasks and prioritize effectively.

- Strong interpersonal and communication skills both verbal and written, with the ability to communicate clearly and professionally with patients and team members.

- Ability to work well in a fast-paced, team-oriented environment.

- Strong attention to detail and problem-solving skills.

- Basic computer skills and experience with electronic health records (EMR) is a plus.

Physical Requirements:

- Ability to stand for extended periods of time.

- Manual dexterity required for handling small parts, eyeglasses, and optical tools.
