The Operations Dispatcher is responsible for the safe, efficient, and profitable coordination of daily operations and transportation. This role oversees the scheduling and management of company-owned and independent trucks, tractors, and trailers, ensuring optimal fleet utilization. The ideal candidate will have strong organizational skills, the ability to track and manage a large fleet, and a solid understanding of DOT rules and regulations, payroll procedures, and equipment inventory.
Essential Job Functions:
· Schedule and assign trucks and drivers to ensure efficient operations.
· Maintain and organize all necessary paperwork related to trucks, including permits, registrations, and compliance documents.
· Apply for, file, and renew required permits.
· Communicate key operational details such as pricing, locations, and schedules to relevant parties.
· Organize trucking timesheets and tickets for payroll and billing accuracy.
· Review GPS data to match with driver time logs and round logs.
· Handle DOT paperwork and facilitate DOT visits as required.
· Prepare and distribute the daily truck schedule.
· Maintain truck binders and assignments.
· Manage DMV-related tasks, including vehicle registration and compliance for new trucks and trailers.
· Ensure adherence to NY State labor laws.
· Assist in tracking and coordinating equipment moves.
· Communicate with outside vendors as needed to manage workload.
· Handle driver applications, record filing, and phone inquiries.
Experience/Education: Minimum of 5 years of field or office experience in trucking operations.
Required Skills:
· Strong organizational, planning, and leadership skills.
· Ability to multitask in a fast-paced environment.
· Proficiency in Microsoft Excel and Word; familiarity with equipment software preferred.
· Effective verbal and written communication skills.
· Strong problem-solving abilities.
· Ability to work collaboratively with teams and provide leadership when needed.
· Must be available for phone calls after hours as needed to support operational requirements.
