Position Summary : The Office Manager position is a key leadership role responsible for overseeing and enhancing the operational, recruitment, and growth strategies of a home care agency. This position focuses on building efficient processes for caregiver recruitment and training, developing and executing growth and marketing strategies, fostering community relationships, and managing internal operations. The Office Manager will play a pivotal role in achieving client growth targets, building partnerships, and overseeing key administrative roles such as Scheduler and Outreach Coordinator.
Key Responsibilities
Recruitment, Training, and Staff Management :
Develop and implement recruitment strategies to attract qualified caregivers.
Work with third-party recruiting agencies to participate in the caregiver hiring process.
Oversee caregiver onboarding, orientation, and training programs to ensure high-quality care delivery.
Collaborate with the Administrator to hire schedulers and other support staff as the agency grows.
Provide ongoing support, supervision, and performance evaluations for caregivers and administrative staff.
Ensure client satisfaction by addressing concerns promptly and maintaining open lines of communication with clients and their families.
Occasionally participate in client assessments to evaluate needs, create care plans, and ensure the agency’s services align with client expectations.
Growth and Marketing Strategies :
Collaborate with the Administrator to plan and achieve client growth targets.
Develop and execute marketing strategies to promote the agency’s services.
Build and maintain relationships with referral sources, including healthcare providers, community organizations, and senior care networks.
Manage inside and outside sales efforts to generate leads and increase client base.
Community Engagement and Partnerships :
Organize and conduct community events and activities for seniors to enhance the agency’s visibility and impact.
Establish contracts and partnerships with organizations such as PACE, CICOA, ALS, and other relevant entities to expand service opportunities.
Administrative Oversight :
Participate in the hiring process for administrative staff, including Schedulers and Outreach Coordinators.
Provide leadership and guidance to administrative roles, ensuring alignment with the agency’s goals and objectives.
Develop and refine internal processes to optimize efficiency, targets and service quality.
Qualifications :
- Education : Bachelor’s degree in healthcare administration, business management, or a related field (preferred).
- Experience : Minimum of 3-5 years in a leadership role, preferably in home care, healthcare, or a similar service-oriented industry.
- Proven experience in recruitment, training, and staff management.
- Demonstrated success in developing and executing growth and marketing strategies.
- Experience in building community partnerships and managing client relationships.
