Location: Palo Alto, CA (must be ready to work 7 days a week for most of the year)
Position Overview:
Our client is seeking a dynamic and highly motivated Chief of Staff to join their extremely fast-paced team. This is an operations-heavy role; if you’re looking for purely strategic or product positions this is not a good fit.
You will own a broad range of responsibilities, from managing company logistics and team building to directly interfacing with customers and investors. You will work very closely with the leadership team and have high visibility with Silicon Valley’s top investors and board members. As a result, they expect extremely high problem-solving skills and ownership.
Key Responsibilities:
• Team Building & Culture
- Source and secure optimal office space tailored to their growing team's needs.
- Ideate, organize, and host creative events that foster a strong and collaborative team culture.
- Oversee the design and distribution of company gifts/merchandise.
- Manage hiring for contractors and employees for operations and business development roles.
• Operations & Logistics
- Handle core operational tasks, including payroll, accounting, invoices, bonuses, equity management, laptop procurement, and contracts.
- Identify, vet, and work with vendors for essential services, such as website development, trademark filings, and legal counsel.
- Hire and oversee an Executive Assistant to streamline administrative responsibilities.
• Strategic Projects
- Manage offshore teams for tasks like technical labeling and data operations.
- Orchestrate the data procurement process. This project would involve you handling the purchase of millions of dollars worth of data and assets.
• Customer & External Relations
- Coordinate strategic Proof of Concepts (PoCs) with customers.
- Build and maintain relationships with customers by organizing events, sending personalized gifts, and hosting potential customers, etc.
- Identify and participate in events to network with potential clients and partners.
- Act as an account executive or user liaison when required.
• Investor Relations
- Set up and manage regular syncs with the company’s investors and potential investors.
- Track activities of investors and monitor competitors to provide actionable insights.
- Prepare the company’s investor material and decks.
Qualifications:
- Proven experience in operations-heavy roles, ideally in high-growth startups or similar fast-paced environments.
- Past company founding experience is a plus.
- Ready to work seven days a week for most of the year.
- Ready to travel for long durations on short notice.
- Exceptional organizational skills and the ability to juggle multiple, diverse responsibilities effectively.
- A proactive, problem-solving mindset with a high level of attention to detail.
