Summary
We are currently seeking a reliable, detail-oriented Order Entry/Billing Specialist to join our team. This role is essential to supporting specific customer accounts assigned to designated programs and maintaining strong, professional relationships with both customers and vendors. The ideal candidate will be organized, proactive, and capable of managing multiple transactional processes with a high level of accuracy and care.
Responsibilities
- Enter and manage sales orders in our ERP system (NetSuite)
- Ensure timely and accurate order fulfillment, billing, and credit memo adjustments
- Set up and maintain specific customer account and shipping address information
- Enter and receive purchase orders, process vendor returns, and manage vendor bill credits
- Support purchase order billing
- Manage DFAD (Delivery For Another Distributor) order entry and gather billing documentation through Shell’s Markethub portal
- Serve as a liaison between our company and specific customers (including Shell) and their delivering distributors
- Obtain ETAs, resolve order discrepancies, and ensure clear, timely communication
- Perform administrative tasks such as document scanning and item setup support
- Build strong working relationships, monitor order timelines, and resolve issues related to delivery or product availability
Requirements
- 2–3 years of experience in an administrative, order entry, billing, or similar support role
- Strong sense of ownership and responsibility
- Highly organized and detail-focused
- Self-motivated with strong follow-through
- Strong communicator and team collaborator
- Comfortable working across multiple systems and platforms
- Associate degree in Business Administration or equivalent experience
- Experience using NetSuite preferred
- Understanding of order-to-cash processes preferred
- Familiarity with inventory transactions (inputs, outputs, FIFO) preferred
