NEW! Outpatient Surgery Center opening in October! M-F day shift!  No Weekends, No call, No Major Holidays!  We are looking for an experienced Surgery Admissions Clerk (prefer Epic experience) who values teamwork and thrives in a busy outpatient environment.  

Summary Job Description

The Admitting Clerk is responsible for the courteous and prompt processing of patients for admission to the Surgery Center. The Admitting Clerk is responsible for completing the registration process within the Epic electronic health record, answering incoming telephone calls and directing the calls to the appropriate personnel. The Admitting Clerk may be cross-trained in other business functions, and reports directly to the Director of Nursing. 


Responsibilities

  • Admits patient and completes registration process within the Epic software.
  • Verifies the accuracy and completeness of patients’ clinical, demographic and insurance information upon admission. Enters corrected patient information into the medical software system at the time of admission.
  • Communicates patient or surgeon delays and other information pertinent to clinical operations to the appropriate person(s) in a timely manner.
  • Updates the surgery schedule for cancellations and/or add on cases, as needed.
  • Informs the Director of Nursing or designee of any cancelled and/or altered procedures.
  • Provides patient or legal guardian with rights and responsibilities, physician ownership information, financial obligations, and anesthesia consent information, as applicable.
  • Protects patient confidentiality and dignity by keeping patient charts in an inconspicuous location at the front desk; and, keeps discussion of a patient’s procedure(s) to a tone discernable only to the patient/legal guardian.
  • Maintains an orderly and secure system for storing patient information.
  • Records and reconciles daily all monies collected at the front desk.
  • Secures and reconciles the change drawer.
  • Assures that a staff member remains at the front desk at all times during hours of operation.
  • Understands general management of the telephone system.
  • Answers main phone line and takes phone messages for patients, physicians and staff as necessary. Forwards calls as appropriate
  • Cross-trains in other responsibilities to include, but not limited to insurance verification and medical records.
  • Performs other duties as administratively assigned.
  • Respects patient’s rights.
  • Performs actions that demonstrate accountability.
  • Orients, instructs, and trains assigned personnel.
  • Enhances professional growth and development through participation in various programs, in-services, workshops and meetings.
  • Demonstrates effective communication and interpersonal skills which promote a positive environment, teamwork and loyalty to the organization.
  • Maintains a collegial relationship with physicians to ensure quality patient care.
  • In accordance with the ambulatory surgery center philosophy, presents behaviors and actions which create a high level of customer service to patients, visitors, physicians, vendors and Surgery Center staff.
  • Demonstrates behaviors and actions which support the mission, goals and operations of the Surgery Center that also contribute to continuous service improvement.
  • Exhibits flexibility, adapting readily to changes in the work environment and/or work schedule.
  • Maintains a positive attitude, even during periods of stress and challenge.
  • Maintains positive attendance and communicates in advance any absences from work.


Qualifications

  • High school graduate.
  • Demonstrated ability to type 45 wpm, preferred.
  • Comprehension of medical terminology, preferred.
  • Minimum one (1) year receptionist experience in an ambulatory surgery facility, acute-care hospital, or doctor’s office, preferred.
  • Experience using applications (Word, Excel, Power Point), preferred.
  • Excellent oral and written communication skills.
  • Ability to prioritize and complete tasks in a timely manner.
  • Ability to perform multiple tasks simultaneously.
  • Must be able to work under pressure.
  • Intermittent and prolonged physical mobility/activity including walking, standing, sitting, lifting up to 50 pounds, pulling and pushing of carts, equipment, etc.  Must be able to bend body downward at the waist; be able to kneel.
