Rincon Physical Medicine and Rehabilitation is a medical clinic specializing in diagnosing and treating traumatic and musculoskeletal brain injuries. Job Summary:
The Clinical Administrator is a management level position that oversees the day-to-day operation of the clinic. They are responsible for evaluating and fine tuning how the business operates for greater efficiency and effectiveness. Their scope of oversight ranges from Office Administration to IT and HR to Patient Care. This position will report to the Director of Operations.
Responsibilities:
- Establishes and implements goals, objectives, policies, procedures and systems for all operational areas of the clinic
- Designs and executes strategic long-term plans
- Manages the clinic’s daily operations
- Oversees onboarding and offboarding of employees
- Manages capacity, selection, training and supervision of all staff (Responsible for all business functionality)
- Coordinates training for new equipment and technology
- Supervises staff and conducts performance evaluations, merit increases and disciplinary actions (in partnership with owner/HR as required)
- Resolves administrative and operational problems including the maintenance of clinic property, computer systems and installed software applications
- Ensures compliance with regulations and standards
- Gathers and reports data for fiscal and statistical analysis
- Liaise with medical staff to:
- Identify efficiencies in the facility’s operations
- Ensure quality patient care and services are provided
- Liaison between vendors (business law group, employment law group, HR, bookkeeping, CPA group, CFO, business coaches, etc.)
- Assists Chief Executive Officer to develop clinic strategic plans and objectives based upon identified needs of patients
- Review contracts for accuracy
- Oversee and manage all aspects of Information Technology within the organization
- Travel 1-2 times per month to check on satellite locations
- Maintains the strictest confidentiality
- Performs other duties as assigned
Qualifications:
- Bachelor's degree in business or related field
- 5 years experience in a clinical setting
- Proficient in Google Workspace and medical software
- Principles and practices of health care planning and management sufficient to manage, direct, and coordinate the operation of a healthcare organization
- General knowledge of accounting practices and procedures
- High degree of initiative, judgment, discretion, and decision-making to achieve clinic objectives
- Planning, organizing, delegating and supervising skillset
- Leading employees to accomplish all job objectives while inspiring confidence and motivation
- Gathering and interpreting data, analyzing situations accurately, and taking effective action
- Establishing and maintaining effective working relationships with employees, policy-making bodies, third-party payers, patients, and the public.
- Organizing work, making assignments, and achieving goals and objectives.
- Exercising judgment and discretion in developing, applying, interpreting, and coordinating departmental policies and procedures
- Communicating and marketing as the contact point between internal team members, attorneys, and patients
- Quality assurance skills to maintain company quality standards of products and services
- Time management and prioritization skills to ensure efficient functioning of schedules and office systems
