Job Title: Front Desk Legal Assistant

Position Type: Full-time, in-person position, Monday through Friday, 8:30 a.m.-5:00 p.m.

Job Description: We are looking for an organized, proactive, and customer-focused front desk legal assistant to be the first point of contact for our clients and assist in a variety of administrative tasks to support our legal team. As a Legal Assistant, you will play a key role in creating a welcoming environment for our clients and visitors while handling administrative duties. You will manage the front desk area, greet clients, and support attorneys and staff with day-to-day operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and a professional demeanor. Additionally, you will assist attorneys with managing case files, handling communication with clients and external parties, and any other administrative tasks the attorneys may require.
Key Responsibilities:
· Greet clients and visitors in a friendly, professional manner.
· Direct phone calls to appropriate staff or attorneys – our main office line will be answered in our primary office location in Stafford, VA.
· Schedule appointments, meetings, and conference calls for attorneys and clients
· Assist with client intake, including gathering basic information and processing forms
· Assist with preparation of fee agreements and collecting retainer payments
· Maintain and organize client files and documents (both physical and electronic)
· Perform administrative duties such as filing, faxing, copying, and scanning documents
· Assist with preparing and delivery of legal documents as needed
· Ensure the front office is tidy, welcoming, and well-stocked
· Handle general inquiries from clients, staff, and external parties
· Assist attorneys and other legal assistants with ad hoc tasks as required
· Communicate with clients, opposing counsel, and external parties in a professional manner
· Manage and track case deadlines and ensure timely completion of tasks
· Managing office calendar
Qualifications:
- High school diploma or equivalent required, some college or legal assistant coursework/paralegal certificate is a plus
- Previous experience in a legal assistant or administrative support role is preferred.
- Strong understanding of legal terminology and procedures is preferred.
- Proficient in Microsoft Office Suite
- Previous experience with Clio is preferred
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and exercise discretion.
