The Payroll and Recruiting Assistant supports the Human Resources department by performing a variety of clerical and administrative tasks related to payroll processing and recruitment. This role assists with the accurate and timely processing of payroll, as well as providing support in the recruitment process, including job postings, coordinating interviews, and maintaining communication with candidates and hiring managers. The position requires attention to detail, strong organizational skills and the ability to handle confidential information.
Job Description
DUTIES AND RESPONSIBILITIES :
Payroll :
- Assists in processing and reconciling complex payrolls in Workday for bi-weekly and semi-monthly frequencies. Monitor interface with ADP payroll partner vendor and acts to quickly resolve issues.
- Audit timecards, enter data and analyze data for accuracy.
- Assists to prepare for payroll-related and retirement plan audits; provides necessary documentation.
- Assists to prepare employment verifications and provides payroll information for unemployment claims.
- Assists employees with payroll questions and problem resolution.
Recruitment :
Supports the recruitment process by updating and posting job profiles (job descriptions) using the Workday Applicant Tracking System.Assists the Recruitment Manager by coordinating with hiring managers to understand job requirements and assists with candidate screenings.Supports the Recruitment Manager by coordinating and scheduling interviews, including arranging travel for candidates when necessary.Assists in maintaining regular communications with candidates, ensuring they are informed throughout the recruitment process.Assists in conducting or coordinating reference checks and background investigations, ensuring thorough follow-up.Assists with scheduling new hire onboarding tickets.Supports the Recruitment Manager to ensure seamless coordination of the recruitment process from job posting to hiring using the Workday applicant tracking system, with meticulous follow-through at every stage.Other HR Responsibilities and Duties :
Assists in communicating HR policies, procedures and information to employees.Prepares correspondence utilizing Microsoft Word and email; assists with employee communications including e-mail broadcast messages; maintains necessary reports and spreadsheets utilizing Microsoft Excel.Provides general administrative support to the HR team.Assists with special projects and performs other duties as assigned.KNOWLEDGE, SKILLS AND ABILITIES :
Must possess a high level of interpersonal and human relations skills, flexibility and ability to interact appropriately with a wide variety of personality types.Strong working knowledge of state and federal employment and tax regulations and principles and practices of payroll administration.Knowledge of payroll accounting principles.Excellent communication skills, both written and verbal.Ability to work collaboratively with a team and independently.Ability to plan and prioritize work and simultaneously manage multiple detailed projects and responsibilities.Proficiency in Microsoft Office, particularly Outlook, Word and Excel.Ability to present a professional appearance.Ability to work regular established hours of operation and additional hours as business necessitates.Education and Experience
Minimum :
Associate's degree in accounting, Business Administration, Human Resources or a closely related field.Three to five years of related work experience. Any combination of education and related work experience is qualifying.Preferred :
Experience with Workday payroll and ADP SmartCompliance.Experience in payroll administration at an institution of higher education.Experience in Workday recruitment or other web-based applicant tracking systems.Certification in payroll and / or Human Resources (e.g., FPC, PHR, SPHR, SHRM-CP, or SHRM-SCP).Ringling College of Art and Design is an Equal Opportunity Employer.
