Your Role:
As our On-Campus Facilities Administrative Assistant, you will play a crucial role in ensuring our property operates efficiently and our residents' needs are met with professionalism and courtesy. Your responsibilities will include supporting the General Manager and Maintenance Supervisor, managing the front desk, overseeing office operations, and maintaining important records.
Key Responsibilities:
- Front Desk Excellence: Be the welcoming face of our community, greeting visitors, managing phone calls, and directing inquiries.
- Office and Inventory Management: Keep our office and stock areas organized, manage our inventory system, and assist with inventory upkeep.
- Administrative Support: Maintain updated records for inspections, projects, and contracts, and assist with financial tasks such as bill management and expense tracking.
- Inspection and Maintenance Coordination: Help with building and unit inspections, manage work orders, and ensure maintenance services are completed to scope.
- Vendor and Contract Management: Maintain vendor relationships, monitor insurance and contracts, and prepare make-ready schedules.
- Reporting and Data Analysis: Collect, analyze, and summarize data for weekly ownership reports.
- Safety and Compliance: Document agendas for safety meetings and ensure compliance with safety standards.
