Job Summary : We are seeking a reliable and organized Scheduling Coordinator to manage and coordinate schedules for our team while also providing supervision to the Float Team. The ideal candidate will have strong leadership and communication skills, as well as the ability to efficiently manage shifting schedules and ensure adequate staffing coverage. This role requires a flexible and proactive individual who can cover shifts as needed and manage the team with a focus on performance, quality, and operational efficiency.
Position Overview : The Staffing Coordinator will oversee the float team to ensure that open shifts are filled across the organization for reasons related to callouts, staffing issues, or the need for additional supports for clients in crisis. Additionally, the Staffing Coordinator oversees scheduling needs for the organization ensuring the employee schedules are up to date and accurate and organizes schedule changes for employees looking to move to different days, shifts, or increase / reduce their hours.

Essential Job Functions
- Scheduling Coordination :
Create, maintain, and update employee schedules for all departments or designated teams based on staffing requirements, business needs, and employee availability.
Ensure all shifts are filled in a timely manner and employees are informed of any changes to their schedules.Manage and track employee time-off requests and ensure adequate coverage during holidays, vacations, or other absences.Communicate shift schedules, updates, and changes to relevant stakeholders.Coordinate with other departments or supervisors to align staffing needs across the organization.on-call rotate weekends with others administrative and leadership staff to be backup on-call supportFloat Team Supervision :Supervise and manage the Float Team, ensuring they are trained, motivated, and ready to assist across various areas as needed.
Monitor the performance and attendance of float team members, providing feedback and support to ensure optimal performance.Assign float team members to specific roles, ensuring they are deployed effectively and efficiently based on operational requirements.Conduct team meetings or check-ins to address any concerns, provide updates, and reinforce goals and expectations.Shift Coverage :Be available to cover shifts as needed, stepping in for call-offs, absences, or unexpected staffing shortages.
Ensure smooth handoffs between shifts and provide guidance on the day’s operations to incoming team members.Demonstrate flexibility in managing different shifts (e.g., nights, weekends, holidays) as required by the needs of the business.Communication & Reporting :Act as the primary point of contact for all scheduling-related inquiries and address any scheduling conflicts or issues promptly.
Track and report on team performance, attendance, and any deviations from the schedule, escalating issues to management as necessary.Collaborate with management to optimize scheduling practices and improve team efficiency.Team Development :Assist with onboarding, training, and continuous development of float team members to ensure they are capable of filling various roles when required.
Provide feedback and coaching to team members on their performance, fostering a positive work environment.Encourage team engagement and maintain high morale, especially during high-demand periods.Key Responsibilities :
Required Skills and Qualifications :
Proven experience in scheduling coordination or workforce management.Leadership experience, preferably with managing a team.Strong organizational and time management skills, with the ability to prioritize and adjust schedules on the fly.Excellent communication skills, both written and verbal.Ability to work under pressure and maintain flexibility with changing priorities.Proficiency in scheduling software or systems (e.g., Microsoft Excel, workforce management tools).Problem-solving skills and a proactive approach to addressing issues.1-2 years of experience as a DSP or CNA (preferred, not required)Experience using Therap (preferred, not required)Must have High School Diploma or G.E.D.Must be at least 18 years of age.Must pass Oregon criminal background screening.Must be able to remain awake and alert while on shift.Must be able to lift to 35 lbs., bend and / or squat.Must be able to walk up and down stairs.Must be able to perform job with or without a reasonable accommodation.Employee will be expected to use computer screens with extended periods of sitting and standing.Preferred Qualifications :
Previous experience working with a float team or cross-functional teams.Supervisory experience in a fast-paced or healthcare environment (if applicable).Knowledge of labor laws and compliance (if relevant).Working Conditions :
