We are seeking a detailed-oriented and customer-focused Facility Rental Coordinator to join our team. The Facilities Rental Coordinator will be responsible for managing reservations for rental spaces in and around an established residential community; ensuring accuracy, efficiency and have excellent customer service throughout the booking process. This is an on-site position, Monday-Friday with some evening and/or weekend availability when needed.
Job Description:
- Reservation Management: Handle incoming reservations inquires via phone, email or in-person. Assist in selecting the appropriate rental space based on needs and preferences. The Reservation Specialist will be the main point of contact for all inquiries and on-site tours.
- Booking Coordination: Coordinate bookings, ensure availability and scheduling rental spaces accordingly. Maintain accurate records of reservations in the booking system.
- Customer Service: Provide exceptional customer service throughout the reservation process. Address any questions or concerns promptly and professionally, ensuring a positive experience for clients.
- Payment Processing: Collect rental fees, deposits, and any additional charges as required. Process payments accurately and efficiently, following company procedures.
- Communication: Maintain clear and effective communication regarding reservation details, changes, or special requests. Enforce policies and procedures of rental spaces in a professional yet clear manner.
- Problem Resolution: Handle any issues or discrepancies related to reservations promptly and effectively. Work proactively to find solutions and ensure customer satisfaction.
- Documentation: Maintain organized records of reservations, contracts, payments, and other relevant documents. Ensure all paperwork is completed accurately and filed appropriately.
- Supervision: Hire, train, and schedule rental facility attendants, as well as manage payroll for rental staff.
Qualifications:
Previous experience in customer service, hospitality, or a related field preferred.
Excellent communication skills, both verbal and written.
Strong organizational skills with attention to detail.
Ability to multitask and work efficiently in a fast-paced environment.
Proficiency in computer skills, including experience with reservation systems.
Flexibility to work evenings, weekends, and holidays as needed due to staffing.
