The Unaccompanied Children Program provides long term and transitional residential care and other supportive services to Unaccompanied Children (UC) who are under legal custody of the Federal Government. Working in collaboration with the federal Office of Refugee Resettlement, ORR, our program provides a safe and nurturing environment for youth in a Basic Shelter program located at our licensed residential facility in Yonkers, NY and in all Five Boroughs as well as a Transitional Foster Care program and the Long Term Foster Care Program located in foster homes in the Bronx, Queens and Westchester. In all programs, we provide therapeutic and educational services and other supports that youth need to achieve success through an array of strength-based and targeted interventions as well as link them with family members and/or other sponsors in the United States so they are able to move forward with their lives and thrive. The Administrative Supervisor supervises the Administrative Assistant and will provide administrative and clerical support to the program.
Responsibilities
- Work with General Services and IT staff to ensure that all equipment is in working order. Also responsible for monitoring progress with all maintenance requests and IT helpdesk tickets at the assigned Day Program.
- Monitor supply inventory and request supplies for the program as needed.
- Access to the program safe and the point person to reconcile all funds incurred, related to education, food, clothing, etc.
- Process petty cash and all other budget conciliations for signature and approval
- Other administrative duties as assigned
- Manage petty cash and funds reconciliation for the program and submit it to Finance department for processing.
- Holder of the ADP Paycards at the 500 Bergen location to distribute as requested by Human Resources.
- Plans/Coordinates all program functions and events for children and staff as needed.
- Enter all data in the POH share file pertaining to: Credit Card Statement, Food Distribution, Petty Cash and any expenditures.
- Distribute phone cards.
- Liaison with all vendors for the program this includes clothing, household supplies, etc.
- Prepare all travel and medical money requested by the Travel supervisor & Medical coordinators.
- Prepare and disburse haircut and clothing money.
- Complete all Purchase Orders for the Program and submit them to the Program Senior Vice President, VP and or AVP for approval. Once approved by the SVP, the PO must be submitted to the Purchasing Department.
- Order supplies for facilities, day program and recreational for the children.
- Set up calendar alerts and Webex meetings.
- Other administrative duties as assigned
Qualifications
- An Associate’s Degree is required. Bachelor’s degree is preferred.
- The applicant must have at least two years of experience as an administrative assistant.
- Bi-Lingual (Spanish/English) and cultural competence a must.
- Supervisory experience preferred
- Must be proficient in Microsoft Office Suite
Supervisory Responsibility
- Directly supervises the Administrative Assistant of 500 Bergen Day Program
- Ensures that the Administrative Assistant is in compliance with all program expectations
- Provides bi-weekly supervision to the Administrative Assistant at the Assigned Day Program
- Conducts Performance Appraisal for the administrative assistant assigned to the day program
- Approve e-time for the Administrative Assistant
Position Type/ Expected Hours of Work
This is a full-time position, days and hours of work are Monday through Friday at the Day Program located at 500 Bergen Avenue, Bronx, NY. Work hours of 9am – 5pm with flexibility to come in early or stay late for events, projects, etc.
Salary: $65,520.00

Authorized to work in the U.S.
Ability to work in-person for at least 4 days or more per week.
Ability to travel to other Rising Ground, POH sites (as required)
