Overview
River Family Health is seeking a Lead Medical Assistant & Office Manager to oversee both clinical and administrative operations in a fast-paced healthcare setting. This leadership role requires strong organizational skills, adaptability, and the ability to manage multiple priorities effectively. The ideal candidate will have a background in medical assisting and office management, with experience in team leadership, workflow coordination, and patient care support.
This position is responsible for ensuring smooth daily operations, leading a team of medical assistants, and supporting healthcare providers while maintaining high standards of efficiency, compliance, and patient satisfaction.
Key Responsibilities
Clinical Responsibilities:
- Greet and escort patients to examination rooms, ensuring timely patient flow.
- Record patient medical histories, vital signs, and other relevant health information accurately.
- Support providers during exams and procedures to ensure efficient patient care.
- Administer injections, draw blood, remove sutures and staples, and perform other clinical tasks in accordance with clinic policies and billing guidelines.
- Respond to patient inquiries regarding clinical matters, assisting providers in ongoing patient care.
- Provide patient education as directed by providers.
- Schedule patient appointments and maintain accurate medical records.
- Ensure compliance with clinical guidelines, patient safety standards, and HIPAA regulations.
Administrative Responsibilities:
- Oversee daily office operations, identifying and resolving workflow challenges.
- Supervise clinic personnel, including hiring, training, development, evaluation, and disciplinary actions.
- Prepare and manage payroll for clinic employees.
- Address and resolve conflicts involving patients and staff professionally and efficiently.
- Develop and maintain guidelines for prioritizing work activities, ensuring operational effectiveness, and adjusting as necessary.
- Ensure the clinic is adequately staffed and maintains an efficient and responsive patient flow system.
- Manage and maintain clinic inventory, including medical supplies and equipment.
- Oversee patient record management and clinical documentation in compliance with regulations.
- Assist with billing processes, ensuring proper coding and timely submissions.
- Prepare reports on clinic performance, patient metrics, and operational efficiency.
- Develop, implement, and maintain policies and procedures to enhance clinic operations and compliance.
Supervisory Responsibilities:
- Lead, train, and mentor employees, providing guidance on best practices and clinic procedures.
- Evaluate team performance, provide coaching and feedback, and ensure adherence to patient care standards.
- Coordinate staff schedules to ensure appropriate coverage and workflow efficiency.
- Conduct regular team meetings to review clinic goals, address challenges, and drive continuous improvement.
- Serve as the primary point of contact for employees, facilitating problem resolution and team collaboration.
Essential Skills and Qualifications:
- Certified Medical Assistant (CMA) or equivalent certification required.
- At least 2 years of clinical experience in a medical setting, with preference for those with leadership experience.
- Strong knowledge of medical office management systems and procedures.
- Excellent time management, multitasking, and prioritization skills.
- Strong interpersonal and communication skills with a commitment to excellent patient service.
- High level of organizational skills and attention to detail.
- Ability to lead and support a team while fostering accountability, collaboration, and professional development.
- Proficiency in Microsoft Office applications.
- Experience with eCW (Electronic Health Record) systems preferred.
Minimum Requirements:
- High school diploma required; additional education in healthcare administration or a related field is a plus.
- Supervisory or leadership experience in a healthcare setting preferred.
