Reporting to the Chief Operating Officer (COO) and the Membership Director, the Executive Office Administrator serves in a critical support role to the COO, significantly impacting the effectiveness of the Executive Office and its staff. This important position is responsible for providing a full range of administrative support to the Club’s Management Office as well as acting as the liaison to the Club’s various Member-run Standing Committees.

Duties And Responsibilities
- Coordinates diverse activities which involve frequent interaction with the Board, Committees, Members and employees of the Club
- Anticipates the needs of the COO and, based on knowledge of the executive’s mode of operation and individual preferences, coordinates, researches, delegates, compiles, and organizes any work necessary to meet those needs.
- Manages the time and schedule of the COO; refers calls and questions to other areas when appropriate and organizes the calendar to make the most effective use of the COO’s time.
- Prepares correspondence, documents, presentations, and other reports as needed.
- Manages travel, conference reservations and event planning, calendar management, and arranges business meetings and associated communication.
- Exercises considerable judgment and discretion in the performance of their duties. Organizes annual calendar for Standing and ad hoc Committees. Books rooms, prepares meeting notices, distributes and archives agendas and minutes, receives RSVP’s, and provides headcounts for Committee meetings to the food and beverage teams.
- Maintains men’s and women’s locker waiting lists, assigns lockers, and orders name plates.
- Assists with Membership events, including New Member Orientation and Prospective Member Receptions.
- Arranges reciprocal guest privileges for Members visiting from other Clubs, and for River Oaks Members when traveling.
- Maintains all office filing systems, including Membership and Executive Office filing.
- Maintains Lost and Found coordinating with each department of the Club to organize and attempt to return any lost items.
- Processes all mail and invoicing for the Executive Office, including the Membership and Communications departments.
- Maintains office supplies and storage area stock levels for the Executive Office.
- Excellent written and oral communication skills
- Proficient abilities in Word, Excel and Outlook
- Naturally extremely organized and accurate
- While rare, has the flexibility to occasionally work evenings, weekends and holidays
- Hospitality industry experience a plus
- Creative thinking and problem-solving skills
- Excellent written and oral communication skills
