The position provides administrative and secretarial support to Chief Executive Officer and executive management team.
ESSENTIAL FUNCTIONS:
- Organize and maintain filing systems and policy and procedure binders. Track use of office supplies and order/replenish as necessary. Open, sort, and distribute incoming mail and frank outgoing mail on a daily basis. Maintain sufficient postage on meter.
- Prepare agendas as requested. Attend meetings, accurately record and transcribe minutes, distribute and file per facility protocols.
- Compile data and complete assigned reports and special projects. APPOINTMENT ARRANGEMENTS Maintain appointment calendars for CEO and Directors as needed. Schedule and post calendar for meeting rooms.
- Organize and coordinate meetings, retreats and special events. Maintain and distribute up-to-date company-wide phone list.
- Compose correspondence as assigned, demonstrating knowledge of facility operations and policies. Screen, prioritize and direct incoming telephone calls, faxes, visitors and email.
- Receive and relay accurate messages in a timely manner. Fax and photocopy documents as needed. Act respectful, attentive and professional at all times.
- Model helpful behavior to internal and external customers. Report problems outside the scope of authority to management.
- CREDENTIALING Process applications for credentialing through coordination with Allied Health and Medical Staff. Present completed credentialing files to the Medical Director for review. Present completed credentialing files to the Medical Executive Committee for review/action. Complete Credentialing Summary for each appointment/reappointment for Governing Board review.
- MEDICAL STAFF SUPPORT Compile, prepare, track and file medical staff credentialing documents to ensure appointments and applications are processed and received in a timely manner. Maintain and apply current knowledge of applicable federal and state laws, regulations and accreditation standards. Orient applicants to Medical Staff bylaws, key policies, medical staff structure and performance improvement process. Liaise with external credentialing verification organization for primary source verification.
EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:
- High school diploma or equivalent required.
- Associate’s degree preferred.
