Front Desk Agent
Job Summary: Serves as part of the River Valley Ranch Master Association team under the supervision of the Director of Programming. This position provides information about the services RVRMA provides for the Community, welcomes members and guests of the Ranch House, and creates and maintains a hospitable environment at the Ranch House.
Core Competency Areas and Qualifications: Excellent interpersonal, customer relations, and hospitality skills. Computer literate in Windows environment using primarily Word, Publisher, and Excel. Must develop skills with point of sale (POS) software to manage charges for activities, memberships, and other concession charges. Must be able to read, write and communicate in English.
Professional Licensure, Certifications, or Professional Standards: CPR/First Aid certification preferred. Will provide training.
Specific Demands: This position operates in a professional office environment. The role routinely requires the use of office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
The physical demands representative of those required to perform the essential functions of this job include: standing, walking, sitting, climbing stairs; stooping and kneeling; lifting up to 10 pounds. Must be able to work independently.
Must be available to work weekends, holidays, and early morning/evening shifts. Wednesday opening shift is a must!

Status: Hourly, part-time, non-exempt; Employment-at-Will
Base Salary/Hourly Rate: $20.50-$21.50 per hour.
Benefits: Use of Ranch House facilities
Bonus: Non-eligible.
Job Duties and Responsibilities:
General Hospitality
a) Welcomes members of the community to the Ranch House at the Front Desk. Greets each person with eye contact and salutation to acknowledge them. Maintains an appealing atmosphere in the Entrance Lobby and at the Front Desk.
b) Maintains the Ranch House conditions: water, coffee, newspapers, magazines, flowers. Oversees cleanliness, safety, and supply levels in all rooms.
c) Responsible for locker rentals and key check-in/out along with replacing lost keys.
Opening/Closing
a) Opening duties may include, but are not limited to: turning on inside lights, bringing in newspapers, putting out appropriate mail flag, making coffee, and refilling ice bins.
b) Closing duties may include but are not limited to: turning on outside lights, recycling newspapers, cleaning up beverage areas, straightening up common areas, and closing lap pool.
Member/Guest Check-in
a) Facilitates check-in for members and guests. Updates and confirms membership information by means of paperwork and electronic sources. Responsible for collecting and tracking guests and collecting payment for fee-based products.
b) Ensures that each patron of the Ranch House (members, guests, and children) has properly filled out the liability waiver and that the waivers are processed appropriately.
Communication
a) Responsible for answering the phone and transferring calls to appropriate extensions.
b) Has knowledge of Ranch House and RVRMA activities and events in order to provide accurate information for community members. This involves regularly checking Front Desk notes, communicating with management, confirming the events calendar, and weekly news.
c) Email communication with members and guests.
d) Keeps materials at Front Desk, including fitness and membership information, current and in supply.
Event Support
a) Assists with RVRMA events and activities by creating promotional materials as well as with decorating, set-up, and reservation coordination.
b) May be called upon to assist with large events and scheduled specifically for event support. This includes manning booths and games, coordinating coat check, children’s arts and crafts activities, bartending, and more.
Reservations and Scheduling
Facilitates tennis court reservations by assisting members with online tennis booking site, collecting member information, and accurately updating information into the court reservation website. Work with Tennis staff and Maintenance staff to update the status of open/closed courts. Posts court reservations daily.
Housekeeping
Work with Housekeeping and lifeguard staff to ensure a clean and folded supply of towels in the locker rooms.
Database/Data Entry/Point-of-Sale
Assist management with data entry (reports, spreadsheets, and databases).

Special Projects
Execute Special Projects as requested by management.
General Duties
1) Maintain a positive and professional relationship with all RVRMA staff, leadership, and community members.
2) Contribute to an atmosphere of ‘continuous improvement’
3) Enforce all the facility’s rules, regulations, or policies
4) Maintain the highest standards of ethics in all duties and interactions
5) Attend Ranch House staff or team meetings as scheduled
6) Must be punctual and reliable
