Overview
The Business Office Assistant supports the patient billing, claims filing and patient and resident financial records management for the nursing and rehabilitation center called The Gardens at Warwick Forest. The Business Office Assistant (BOA) also performs a valuable function within the intake process by reviewing admission paperwork with newly admitted residents and/or their representatives and obtaining their signatures acknowledging receipt. The BOA will demonstrate excellent customer service skills, articulate communication and a high attention to detail, organization and reliability in the performance of their duties.

The Business Office Assistant (BOA) also performs a valuable function within the intake process by reviewing admission paperwork with newly admitted residents and/or their representatives and obtaining their signatures acknowledging receipt. The BOA will demonstrate excellent customer service skills, articulate communication and a high attention to detail, organization and reliability in the performance of their duties.
What you will do
- To assist in the admission (intake) process, meets with newly admitted residents and/or their representatives to review and execute the facility’s admission agreement, informing the constituents of the charges they can expect based on their projected length of stay and insurance coverage.
- Assists patients, residents or their representatives in resolving questions regarding their accounts and/or provides necessary information in a timely manner to third party payers to ensure appropriate payment is received by the facility.
- Successfully addresses disputed charges or skillfully knows when to refer the matter to the Business Office Manager.
- Disperses Patient Fund Account (PFA) or Resident Trust Account (RTA) funds as requested by resident or authorized persons, and records the transactions appropriately.
- Monitors PFA limits and recommends expenditures of funds to residents and/or their representatives to prevent them from losing Medicaid coverage due to excess financial resources.
- Completes annual Medicaid renewal forms for residents, obtains the necessary authorizations and submits the applications in a timely manner so that no resident’s Medicaid coverage lapses.
- Assists long term care insurance policy holders with recurring certification requests.
- Assists with collection attempts as directed by the Business Office Manager, to include preparing and issuing collection letters as instructed and documenting such in the computerized patient billing system.
- Maintains a thorough and complete system of digital patient/resident financial files within the facility’s electronic patient billing software, and maintains an appropriate, well organized system of hardcopy files.
- Processes payments accurately and timely, as directed by the Business Office Manager, ensuring the secure handling and deposit of funds.

Education
- High School Diploma or GED, High school or equivalent (Required)
- Associates Degree, Business (Preferred)
Experience
- General - Executive Secretary/Administrative Assistant (Preferred)
