Key Responsibilities:
- Answer and route phone calls, providing excellent customer service to clients and staff.
- Schedule appointments and coordinate calendars for clients, staff, and directors.
- Assist with medication refill requests and insurance verification.
- Greet clients and families, creating a welcoming and supportive environment.
- Support directors with various administrative tasks, including document preparation and meeting organization.
- Manage office supplies, process mail, and maintain accurate records and check logs.
- Assist with maintaining electronic health records (EHR) and processing records requests.
- Organize board materials and coordinate report distribution.
- Perform other related duties as assigned to support the agency’s mission.
Qualifications:
- High school diploma or equivalent, with a minimum of two years of experience in an office setting or related clerical work.
- Proficiency with computers, including Microsoft Office, Google Suite, EHR systems, and digital record-keeping tools.
- Strong communication skills, both written and oral, with a professional phone etiquette.
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- Experience in a medical office or mental health setting and knowledge of insurance billing procedures is preferred.
- Ability to maintain confidentiality and comply with HIPAA and agency guidelines.
Work Environment and Physical Demands:
- This position is primarily office-based, with some standing, bending, walking, and lifting up to 25 pounds.
