Job Description: Secretary (Part-Time) (Salary Negotiable)
Reports To: Maintenance Supervisor/Manager
Essential function: Riverview’s Secretary is the first point of reference for all questions and assumes the duties of clerical and administrative support in order to optimize workflow procedures in the office. This position functions as an integral part of the company’s workforce.
Responsibilities:
- Answer incoming phone calls; provide answers to questions from prospective applicants and redirects when necessary.
- Prepare work orders for maintenance, notifying maintenance supervisor of emergency situation.
- Prepare maintenance slips and invoice the member and update maintenance log.
- Assist tenants and members with their monthly charge payments and handle the processing of payments.
- Arrange and notify the Board of Directors of monthly, quarterly, applicant and tenant meetings and special meetings.
- Monitor delinquent accounts and prepare list for Board of Directors meetings and 30/15 day eviction letters as needed.
- Prepare complaints for magistrate filing for delinquent accounts, possession and/or lockouts.
- Resolves inquiries from tenants, members, vendors and suppliers.
- Monitor office supplies and reorder as needed.
- Contact the Board of Directors for a telephone poll and record the results.
- Contact the members regarding pet packets and send correspondence.
- Monitor the surveillance cameras and provide footage to the authorities.
- Prepare letters for the Grounds Committee.
- Prepare the monthly newsletter and flyers.
- Performs other duties as needed and assigned.
Requirements and Skills:
- Prior work experience as a secretary or administrative assistant
- Ability to multi-task and good time management capability
- Professional demeanor with excellent written and verbal communication skills
- Comprehensive knowledge of general office procedures and processes
- Proficiency in MS Office and QuickBooks
- High school diploma or equivalent (minimum requirement)
Job Type: Part-time
Expected hours: 15 – 20 per week
