Secretary III Position Description
JOB TITLE: Secretary III
REPORTS TO: Building Principal
JOB OR POSITION SUMMARY:
Under the direction of the principal, provides administrative support, information technology and secretarial services, prepares, maintains and reports accurate and timely information regarding school improvement and the business and financial operations to insure the efficient operation of the school.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Operates school office
· Serves as office manager
· Maintains the building principal’s calendar and schedules appointments
· Cultivates a friendly office that provides excellent customer service
· Trains, supervises and evaluates student office assistants
· Meets the public, answers the telephone and routine inquiries
· Works as a team member
· Demonstrate professionalism through punctuality and have consistent, reliable attendance
· Performs other duties as assigned
Provides administrative support services
· Prepares correspondence, memoranda, bulletins, data tabulations and required district forms efficiently and accurately
· Writes and publishes school communications electronically
· Supports building substitute system and payroll processes
· Prepares materials for distribution to students
· Sets up and maintains filing system
· Practices professional growth and maintains technical knowledge by attending conferences and training
· Performs other duties as assigned
Serves as building fiscal manager for school General Fund; provides school fiscal data
· Prepares necessary documentation for all financial transactions
· Prepares annual budget data as requested
· Maintains proper records as required by the State and school district
· Issues and processes purchase orders in accordance with District policies and procedures
· Serves as cashier for moneys received into the school General Fund
· Communicates with parents/guardians regarding fees and associated fines
· Comply with all district policies and procedures
Provides information and receptionist services
· Provides information to parents regarding school rules, regulations and events
· Provides initial screening to all visitors as needed
· Coordinates outgoing and incoming communications to community, staff, and students
· Acts as a liaison between staff and building/district administration as appropriate
· Maintains confidentiality in all areas of communication
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Excellent technology skills (including data mining, creating data reports from multiple sources, proficient in Excel MS Word, MS Publisher, PowerPoint)
2. Excellent secretarial skills, competent knowledge of computer operation (including office machines, ten key adding machine, typing 50 wpm), high level of accuracy in work produced
3. Ability to work independently, take initiative, accept responsibility and make decisions as necessary.
4. Ability to positively contribute and cooperate as a team member within and across the district.
5. Ability to maintain and complete minor repairs of office machinery.
6. Demonstrated organizational skills and commitment to follow through on tasks.
7. Demonstrated ability to communicate in a professional manner both orally and in writing.
8. Demonstrated good memory, good judgment, and ability to work well under pressure.
9. Demonstrated ability to handle confidential matters in an ethical manner.
10. Demonstrated ability to work efficiently, effectively, and respectfully with staff and public.
11. Demonstrated ability to produce and maintain accurate records.
12. Ability to comprehend and utilize mathematical calculations.
13. Ability to work both independently and cooperatively, exercise judgement and creativity, organize work, set priorities, and meet deadlines.
14. Knowledge of WSIPC and Skyward software system preferred.
OTHER REQUIREMENTS/QUALIFICATIONS:
1. Completion of high school
2. First aid/CPR card, preferred
3. Bilingual fluency in reading, writing, and speaking another major language, Spanish preferred
4. All District employees shall sign an Authorization and Release of Information form relating to prior school district employment.
5. Successful Washington State Patrol check and FBI Fingerprint Clearance Report and Disclosure Statement in accordance with state law.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to sit, stand, lift, carry, move about, hear and speak. The employee must occasionally lift and/or move 25 to 50 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Year/Days: 181 days per year, 28 extended days, 8 hours per day
Job Type: Full-time
Pay: $28.70 - $33.59 per hour
