Responsibilities
- Calendar & Meeting Management
- Own and manage daily calendars, coordinating internal and external meetings, calls, and travel.
- Anticipate needs, resolve scheduling conflicts, and ensure both executives are prepared for all engagements.
- Set up agendas, video calls, and prep materials; manage follow-ups.
- Inbox Management & Executive Communications
- Monitor and organize incoming emails, flag urgent items, and manage daily priorities.
- Draft and respond to selected emails with professionalism and alignment to brand tone.
- Maintain clear and timely communication on behalf of the CBO and CSO.
- Team Accountability & Deliverables
- Follow up with team members and department heads to ensure collection of KPIs, reports, and deliverables.
- Keep track of deadlines and ensure regular updates are submitted to leadership.
- Serve as a point of contact for internal follow-through and alignment across departments.
- Attendance & Team Oversight
- Monitor team attendance, flag inconsistencies or absenteeism, and report potential issues and ensure accuracy with ADP
- Help ensure team alignment around meetings, key moments, and high-priority initiatives.
- Administrative Efficiency & Operational Support
- Build and maintain efficient systems for task tracking, digital filing, and ongoing priorities.
- Support research, light project management, and prep work as needed.
- Identify and implement productivity improvements to enhance executive workflow.
- Confidentiality & Professionalism
- Manage all responsibilities with the utmost discretion and confidentiality.
- Represent the office of the CBO and CSO with professionalism in all interactions.
- Proven experience as an Executive Assistant or in a high-level support role, ideally in luxury, hospitality, creative, or high-growth environments.
- Exceptional written and verbal communication skills.
- Ability to prioritize, multitask, and stay calm under pressure.
- Highly organized with a self-starter attitude.
- Proficient in Google Suite, Excel, and task/project management tools (e.g., Notion, Asana, Monday).
- Strong intuition and ability to anticipate needs without being prompted.
- Background in brand, strategy, marketing, or hospitality environments.
- French speaking is a plus.
- Experience supporting more than one executive simultaneously

- Meeting preparation rate: 100% of executive meetings have agenda, prep notes, and follow-ups documented.
