Summary

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support both our Chief Brand Officer and Chief Strategy Officer. This role goes far beyond calendar management — the ideal candidate will act as a trusted right hand, helping both executives stay focused, productive, and aligned by managing communications, overseeing follow-ups, and supporting daily operations across departments.

Responsibilities

  • Calendar & Meeting Management
  • Own and manage daily calendars, coordinating internal and external meetings, calls, and travel.
  • Anticipate needs, resolve scheduling conflicts, and ensure both executives are prepared for all engagements.
  • Set up agendas, video calls, and prep materials; manage follow-ups.
  • Inbox Management & Executive Communications
  • Monitor and organize incoming emails, flag urgent items, and manage daily priorities.
  • Draft and respond to selected emails with professionalism and alignment to brand tone.
  • Maintain clear and timely communication on behalf of the CBO and CSO.
  • Team Accountability & Deliverables
  • Follow up with team members and department heads to ensure collection of KPIs, reports, and deliverables.
  • Keep track of deadlines and ensure regular updates are submitted to leadership.
  • Serve as a point of contact for internal follow-through and alignment across departments.
  • Attendance & Team Oversight
  • Monitor team attendance, flag inconsistencies or absenteeism, and report potential issues and ensure accuracy with ADP
  • Help ensure team alignment around meetings, key moments, and high-priority initiatives.
  • Administrative Efficiency & Operational Support
  • Build and maintain efficient systems for task tracking, digital filing, and ongoing priorities.
  • Support research, light project management, and prep work as needed.
  • Identify and implement productivity improvements to enhance executive workflow.
  • Confidentiality & Professionalism
  • Manage all responsibilities with the utmost discretion and confidentiality.
  • Represent the office of the CBO and CSO with professionalism in all interactions.

Requirements/Qualifications

  • Proven experience as an Executive Assistant or in a high-level support role, ideally in luxury, hospitality, creative, or high-growth environments.
  • Exceptional written and verbal communication skills.
  • Ability to prioritize, multitask, and stay calm under pressure.
  • Highly organized with a self-starter attitude.
  • Proficient in Google Suite, Excel, and task/project management tools (e.g., Notion, Asana, Monday).
  • Strong intuition and ability to anticipate needs without being prompted.

Bonus Points

  • Background in brand, strategy, marketing, or hospitality environments.
  • French speaking is a plus.
  • Experience supporting more than one executive simultaneously

Key Performance Indicators for the Role

Calendar & Meeting Management

  • Meeting preparation rate: 100% of executive meetings have agenda, prep notes, and follow-ups documented.
  • Rescheduling rate: Less than 5% of meetings require last-minute rescheduling (outside of emergencies).
  • Response time to meeting requests: Within 24 hours on business days.

Email & Communication Management

  • Email triage efficiency: Inbox remains under control with less than 10 unread emails at EOD.
  • Drafted responses approved without revision: 90% of emails drafted are approved without edits.
  • Response rate for high-priority emails: 95% responded to or flagged within 24 hours.

Team Accountability & KPI Collection

  • Timely KPI report collection: 100% of KPIs from department heads received by deadline.
  • Internal deadline follow-through: Follow-ups result in 90% task completion rate from team members.
  • Project updates delivered: Weekly or bi-weekly reports are compiled and shared without prompting.

Attendance & Team Oversight

  • Attendance issues flagged: 100% of anomalies or absences reported within 24 hours.
  • Team alignment rate: 95% of direct reports present during key meetings and deadlines.

Efficiency & Workflow

  • Time saved for executives: At least 5–10 hours per week reclaimed through improved scheduling, follow-up, and inbox handling.
  • Process improvement initiatives: At least 1 new system or efficiency enhancement proposed and implemented per quarter.
  • Task completion rate: 95% of assigned admin tasks completed on time and without follow-up.

Physical Demands And Work Environment

  • General office assignments-(typing), which lends itself to repetitive motion.
  • Sitting in a stationary position for several hours within the day.
