Exciting Opportunity : Administrative Assistant

As an Administrative Assistant , you'll play a vital role in supporting multiple managers with a variety of administrative tasks across multiple Districts and Communities. This is not just another desk job—it's an opportunity to be at the center of the action, handling critical communications, coordinating with vendors, and ensuring everything stays on track. If you love staying ahead of deadlines, keeping things in order, and working independently, this role is for you!

Essential Functions

  • Be the Communication Hub – Manage phone calls, emails, and requests from homeowners, clients, vendors, and internal teams.
  • Coordinate and Organize – Work closely with vendors and subcontractors to keep projects moving and the managers informed.
  • Stay on Top of Reports – Generate and distribute monthly violation and architectural reports for Board of Directors.
  • Handle Publications – Submit newspaper ads, coordinate publication dates, and serve as the main contact with vendors.
  • Process Important Documents – Oversee the submission and tracking of violation notices and architectural applications.
  • Prepare Critical Materials – Put together agendas, letters, work orders, and homeowner mailings.
  • Maintain Key Records – Manage association vendor contracts, gate system software, homeowner insurance details, and essential district documents.

What You Bring to the Team

Education & Experience :

  • High school diploma or GED required.
  • At least 5 years of office experience (property management experience is a plus!).
  • Skills & Qualifications :

  • Strong proficiency in Microsoft Word and Excel.
  • Ability to work independently, prioritize tasks, and handle multiple projects at once.
  • Excellent organizational skills and a keen eye for detail.
  • A proactive mindset with the ability to problem-solve on the go.
