Job Description : \n\n Summary The Amenity Services Manager (ASM) oversees and supports the onsite facility management staff for Rizzetta Amenity Services, Inc. The ASM will be responsible for ensuring that all accounts are provided the highest level of customer service and are operating efficiently and within budget and scope of services. The ASM will potentially work collectively with other ASMs to enhance the product that RASI offers by organizing ongoing training seminars and reviewing new products and services that can be offered to residents at their locations. The ASM also functions to assist the Director of Community Services in the day-to-day operations of the Amenity Service department. This focus is on assisting and processing the administrative and business side of the department while also assisting in the service that is provided to our clients. The ASM is responsible for ensuring that all company policies and procedures are followed. Essential FunctionsAssist fellow ASM in specific projects related to Amenities Services.Attend public meetings where you may be required to speak in front of large groups.Prepare and submit a written site visit summary report / quality audit report to division vice president.Assist managers and onsite staff in maintenance projects / amenity services when needed.Fill in for onsite managers as needed for absences (expected and otherwise).Attend CDD / HOA meetings as directed by division head.Assist as part of a transition team when acquiring a large account.Assist Clubhouse Managers in preparing and implementing the following, but not limited to : Standard Operating Procedures ManualRisk Management ManualProvide monthly safety topics to each clubhouse.Provide advanced training and standardization to staff of worker’s compensation procedures.Assist in the preparation of quarterly managers’ “Lunch & Learn” meetings.Participate in weekly / monthly conference calls and attends all internal meetingsPrepare project timelines and completion reports for each Clubhouse.Attend Board meetings and staff meetings on an as needed basis.Develop and / or assist with the creation and implementation of procedures to ensure efficient and safe operations of the community and clubhouse.Interact with District and / or Community Association Managers to better understand the scope of assigned projects.Obtain pre-approval of all projects, funding, and all required paperwork.Effectively communicate to management to ensure efficient operations without issue.Prepares and submits budgetary and progress reports, bills, and invoices.Coordinates vendor schedules as it relates to facility contracts.Timely resolution of project issues. Escalate to appropriate manager when necessary.Manages the initial recruitment and training of new employees.Continuous management of employees (i.e., counseling, coaching, training, performance evaluations, etc.) Ensure all company policies are enforced including but not limited to : Uniforms and appearanceAttendanceOvertime policiesCode of conductEnsure timely and effective communication of all client-impacting concerns to Director.Ensure efficient flow of communication to all reports to include but not limited : Safety updatesWeather warningsPolicy changesCompany information and updatesEnsure all monthly expense reports are properly completed, processes, and prepares report for review prior to sending in to accounting for invoicing.Monitor all benchmarked division standards, measures, and present findings to RASI director on weekly basis.Responsible for creating and maintaining logs of property information (manager / community contact list and regional teams, maps, gate codes, contacts, special instructions, streets names, trash days, operations manual, security codes and passwords etc.)Creates proposals and contracts as needed to include assisting in staffing budget preparation. Purposes to CDD boards as needed.Interacts with other ASM to develop new programs to be offered at amenity accounts.Continuously follows amenity market trends and recommends new industry services / products to ensure that we bring cutting edge recommendations to clients.Ensure each Clubhouse sends a monthly re-cap report of all activities to the District and Community Association Managers while maintaining consistency and uniformity of the report.Create requisitions, interviews, and hires new associates. Assist Human Resources for onboarding of new hires.Ad-hoc duties include, but are not limited to, scanning, copying, mailing, filing, storing, assisting administrative assistant when needed, etc.Non-essential duties include other job-related duties as assigned. Education Required Possess a four (4) year degree in Hospitality Management / Hotel or Resort Management / Recreation Management or a minimum of five (5) years of related experience in the field. Leadership ResponsibilitiesDirectly supervises all employees of the designated communities and is responsible for the performance management and hiring of the employees within those communities. Responsible to ensure all company policies and Amenity Services standards are followed.Travel is required. This position must have the ability to travel to various office markets throughout Florida. Travel is primarily local, during the business day, although some out of the area travel, overnight, and weekend work may be expected. Must be able to attend public meetings, typically after normal business hours, and be comfortable speaking in person and in front of large groups. Work Environment This position requires working both in the field and in an office setting. While working in the field you may be driving (sitting) in your car or inside an amenity center / clubhouse. You could also be outside while in the field for periods of time on a pool deck, playground, sports field tennis or basketball court. Additionally, this job operates with occasional exposure to a variety of extreme conditions at construction job sites. The noise level in the work environment and job sites can be loud. While at the office you will be at a workstation in a temperature-controlled room this role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Position is not limited to 40 hours per week, depending on business demand. Possess a valid driver’s license and reliable transportation.Possess personal vehicle insurance with a minimum of $100,000 / $300,000 liability coverage.
