What You’ll Do

  • Client Intake Management : Oversee the client intake process from initial contact to the start of work, ensuring a smooth and welcoming experience.
  • Schedule & Facilitate Appointments : Coordinate appointments and initial consultations, showing our commitment to both exceptional client service and innovative solutions.
  • Collaborate Across Teams : Work with attorneys and support staff to ensure client files are accurate, well-organized, and up-to-date.
  • Administrative Support : Provide proactive support across departments, helping to maintain efficiency and streamline processes.
  • Database & Document Management : Assist in managing the firm’s contact database and document management system, helping to enhance utilization and organization.
  • Phone & Front Desk Coverage : Ensure a professional, friendly, and welcoming atmosphere during phone calls and front desk interactions.
  • Continuous Improvement : Contribute to our ongoing commitment to excellence in client service and process enhancement.
  • What We’re Looking For

  • Exceptional Client Service Skills : Demonstrated ability to build rapport and deliver exceptional service with professionalism and a positive attitude.
  • Attention to Detail : A keen eye for accuracy and organization in managing client files, schedules, and data.
  • Tech-Savvy Mindset : Proficiency in Microsoft Word, Excel, and Outlook, familiarity with practice management systems and document management software (Worldox experience a plus).
  • Adaptability & Initiative : Ability to quickly learn new software and tools to improve efficiency and accuracy within the firm. Self-motivated and capable of working independently.
  • Confidentiality & Integrity : A strong commitment to maintaining confidentiality and acting with professionalism.
  • Strong Organizational Skills : Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Problem-Solving Mindset : A proactive approach to identifying and solving challenges to enhance workflow and client service.
  • Natural Curiosity : Willingness to learn legal processes and a desire to expand knowledge in the field.
