Personal Assistant to Execuive (Part-Time, but could lead to Full-Time)

20 hours per week (but could lead to 40 hours a week)
Pay:
$15 - $25 / hour depending on qualifications
Job Description:
We are seeking a highly experienced Personal Assistant to support an executive managing over six businesses. You must have prior experience as a PA to be considered for this role. This is an in-person position, and it is not virtual or remote. The ideal candidate is highly organized, tech-savvy, and able to work independently, while proactively anticipating needs. You will handle a variety of tasks, including administrative duties, calendar management, and more. This position has the potential to turn into a full-time role if performance is exceptional.
Responsibilities include:
- Pick up and drop off packages at UPS, USPS, and FedEx before drop-off deadlines.
- Deliver documents to law firms and other businesses
- Occasionally provide chauffeuring services (must have valid driver's license)
- Handle personal and company errands as needed
- Assist with computer setup and software installation for new employees
- Manage calendar and scheduling of appointments, meetings and travel arrangements, including updating Calendly availability.
- Assist with some HR duties and basic bookkeeping
- Provide a daily agenda summary in the afternoon, outlining tasks for both the PA and employer.
- Ensure follow-up on tasks with deadlines (e.g., making sure paperwork is completed and sent on time). Must be extremely organized.
- Familiarity with WordPress for website updates and advanced understanding of ChatGPT/AI prompts.
- Proactively anticipate needs and suggest tasks or improvements without explicit direction
- Gather and filter key information for informed decision-making, providing insights or recommendations on unfamiliar or complex tasks
- Align tasks with long-term goals, ensuring all work supports the overall strategic direction of the businesses
- Prepare and edit correspondence, presentations, and reports
- Be able to screen and prioritize incoming communications (emails, phone calls, correspondence)
- Coordinate and prepare for meetings, executive meetings, and other high-level gatherings
- Act as a liaison between the CEO, employees, and external partners
- Handle confidential and sensitive information with discretion
- Coordinate office management tasks as needed
- Assist in special projects as assigned by the CEO
- Experience with project management and collaboration tools (e.g., Slack, etc.)
- Must be a notary or willing to become a notary ASAP (fees will be paid for)
Bonus:
- Handy with maintenance, assembly of items, or troubleshooting minor household tasks.
- Experience or exposure to different types of law (please list the types of law you have exposure to and what tasks you have specifically performed)
Qualifications:
- Prior experience as a Personal Assistant is required.
- Valid driver’s license with a clean driving record.
- Understanding of computers (Mac and PC)
- Familiarity with WordPress and advanced AI tools such as ChatGPT.
- Must be a notary or able to become one quickly.
- Excellent time management and organizational skills.
- Strong attention to detail and ability to prioritize tasks.
- Reliable, punctual, and able to work independently with minimal guidance.
- Must take a personality test as part of the hiring process.
