Position Summary:
RLM Underground seeks a motivated and experienced Office Support Specialist for our Kansas City, KS office. The Office Support Specialist must be bilingual (fluent in both written and verbal English/Spanish) and will be responsible for assisting with general office duties and Subcontractor onboarding tasks (such as MSAs, NDAs, COIs, etc.). We need someone with good phone etiquette and a welcoming demeanor. You will be responsible for assisting our new and existing Subcontractors with completing or updating their required documentation, discussing any billing issues, and invoicing clients based on production as reported. Other duties may be added as you gain confidence and competence in this role.
This is a fully on-site position in our Kansas City office. Hours are 8:00 am - 4:00 pm M-F.
The Office Support Specialist must be knowledgeable in both MS Office Suite and Google Docs and Sheets which are used for spreadsheets and billing purposes.
Duties & Responsibilities may include:
- Scan paper documents to create digital files on a Google drive
- Upload documents into a vendor database (Clad)
- Create and/or maintain Subcontractor files and documents (both paper and electronic)
- Follow up with our Subcontractors by email and/or phone to get missing and/or expired documents
- Assist new Subcontractors with onboarding requirements and tasks
- Serve as the point of contact for all Subcontractor questions and documents
- Process invoices based on production numbers
- Effectively communicate information as needed on a daily basis to multiple departments within the company
- Will be required to move about in different areas of the facility as needed
- Performs other duties as needed

Salary: $55 - $60K
Requirements:Qualifications Include:
- Must be Bilingual (both written & verbal) in English/Spanish
- Proven experience with MS Office suite and Google Docs and Sheets
- Detail-oriented with good organizational skills
- minimum of 2 years of experience in an office setting
- Must be a team player and able to maintain a positive attitude throughout the day
- Professional phone etiquette
- Attention to detail in entering, maintaining, and analyzing data
- Ability to multitask and prioritize responsibilities
- Must be able to work onsite M-F, 8:00 am - 4:00 pm
Salary : $55,000 - $60,000
