Administrative support to Team Leader
Position Overview: The Assistant to the Team Leader will play a crucial support role in ensuring the smooth and efficient operations of the largest branch of our real estate team. This position requires a proactive, high-caliber individual who can manage a variety of tasks, support team leader and operations staff, and handle administrative duties while maintaining a high level of professionalism and discretion.
Responsibilities Include:
Administrative Support to the Team Leader
- Co-Manage Team Leader’s calendar and Anchorage Team calendar
- Schedule events, invitations and follow-up actions when prompted
- Schedule/coordinate coaching or 1:1 appointments and meetings on behalf of TL
- Take notes during team meetings, distribute as necessary
- Attend morning meeting and update daily number reports
- Facilitate celebrations (birthdays, new hires, milestone events)
- Occasionally run errands for TL
- Create, improve and implement strategies and systems to streamline communication, efficiencies and productivity within the team
- Document management/print materials for classes and team
- Prepare, distribute, print meeting agendas and other relevant materials
- Arrange conference/training room for classes and events
- Assist TL/Operations with Anchorage Team events, including logistics, catering, materials, and guest arrangements.
Office Management
- Ensure a well-organized and clean front desk/office space
- Create a welcoming environment for agents, clients, and guests
- Oversee office supplies inventory, reorder and restock when necessary
- Obtain quotes and coordinate maintenance requests for the entire building
- Identify and address any deficiencies or work needing completed
- Intercept and distribute mail/packages for company
- Keep accurate records of receipts and invoices, scan to accounting department
- Maintain positive tenant relations and coordinate requests for improvement
Collaborate with the operations team to implement company-wide and local initiatives and improvements.
Support and promote our company's mission, vision, and values.
Qualifications:
Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration preferred. Administrative/Personal Assistant experience required. No real estate license or real estate experience required for this position. Must have a valid driver's license and be able to travel for nearby errands.
