This position will primarily revolve around tax return intake and delivery. Since this role involves client interaction, the schedule is Monday through Friday, 8:00 AM to 5:00 PM. Good communication skills and a high level of professionalism is required. This position is responsible for performing a variety of administrative duties including but not limited to:
- New Client Onboarding:
- Guide clients through the onboarding process, ensuring all necessary documents are collected and accurately entered into tax software.
- Provide support and information to clients during the onboarding phase.
- Tax Intake:
- Collect, review, and organize tax-related documents from clients with a focus on accuracy and completeness.
- Coordinate with clients to address any missing information and facilitate a smooth tax intake process.
- Document Delivery:
- Ensure timely and secure delivery of finalized tax documents to clients.
- Implement efficient systems for document delivery, tracking, and confirmation.
- Data Accuracy:
- Maintain a high level of accuracy when entering and managing client information and tax-related data.
- Conduct regular reviews to identify and resolve discrepancies promptly.
- Client Communication:
- Establish and maintain positive relationships with clients throughout the onboarding, tax intake, and delivery processes.
- Communicate updates on the status of onboarding, tax preparation, and document delivery.
- Daily Administrative Tasks:
- Assist with general administrative duties, including answering phones, managing emails, and supporting other team members as needed.
Qualifications:
- Minimum three years’ experience in an administrative assistant position required.
- Willingness to work overtime, including during peak tax seasons.
- Proficient in managing tasks seamlessly in a fast-paced, high-stress environment.
- Ability to prioritize task effectively and maintain composure while under pressure.
- Previous experience in administrative roles, preferably in a client-facing capacity within the accounting or financial services industry.
- Strong organizational skills with meticulous attention to detail.
- Excellent communication skills, both verbal and written.
- Familiarity with tax documents and the ability to manage client interactions with professionalism.
- Proficient in Microsoft Word, Adobe, Excel, and Outlook.
- Must be able to keep matters strictly confidential.
- Team oriented and willing to help others while having a positive attitude.
Pay is based on experience and skill.
