PRIMARY FUNCTION:
The Operations Manager at RTS has a pivotal role in overseeing the organization’s day-to-day operational activities. This individual will drive the efficiency and effectiveness of our operations, ensuring that systems and processes are optimized to support our mission. Reporting directly to the Chief Administrative Officer (CAO), the Operations Manager will work closely with multiple departments and collaborate with the Executive Assistant & Office Manager to maintain a well-run headquarters, facilitate company-wide initiatives, and ensure seamless execution of operational goals.

Operational Leadership:
- Lead and manage the daily operations of the RTS headquarters, ensuring a structured, organized, and efficient environment that supports the organization’s activities.
- Partner with the Executive Assistant & Office Manager to oversee office functions and vendor relationships, including the management of equipment (copiers, printers), facilities (cleaning services, building security), and contractors.
- Develop, implement, and continuously improve operational processes and policies that increase overall efficiency, reduce operational costs, and streamline administrative functions.
- Identify, plan, and execute operational projects that align with organizational objectives.
- Regularly audit systems and procedures to enhance office functionality and service delivery.
- Play an integral role in launching new programs, such as the Wellness Hub Expansion, and facilitating company-wide events like the Fall Toasting, Spring Benefit, Holiday Drives, Youth Leadership Summit, ensuring all operational coordination are managed effectively.
- Coordinate staff training programs, including onboarding processes and technology training, to equip employees with the skills and resources they need for success.
- Serve as the primary liaison between RTS and external vendors to ensure the optimal performance of office equipment, IT systems, and communication tools.
- Oversee the management of office supplies, inventory, and procurement processes, ensuring that all resources are available and properly maintained.
- Collaborate with the Executive Assistant & Office Manager to support all headquarters departments in meeting their operational needs.
- Quarterly inspections of all company-operated spaces including the Boston Secor Community Center, Annex, and HQ Office to ensure they are safe, functional, and meet operational standards.
- Annual assessments and inspections of all RTS school-based centers to ensure compliance with safety regulations, operational efficiency, and proper maintenance of facilities.
- Assist the CAO with managing the organization’s contracts with subcontractors and school partners, ensuring that all agreements are properly executed and stored in compliance with RTS policies.
- Work closely with the program department and CAO to manage incident reports, contract renewals, compliance issues, and documentation processes.
- Oversee the onboarding process for new employees, ensuring that all systems, technology, and equipment are in place for a smooth transition.
- Lead efforts to maintain cybersecurity, data privacy, and IT governance policies to safeguard the organization’s information and systems.
- Coordinate with the IT team to assign and manage technology resources, ensuring that all tools are functional and meet the needs of staff.
- Lead the ongoing development and management of RTS’s intranet on SharePoint, ensuring that it effectively supports collaboration and communication among staff, board members, and the associate board.
- Partner with the IT and Communications teams to keep the intranet updated, user-friendly, and accessible to all team members.
- Work closely with the Finance Department to monitor operational expenses, ensuring that spending aligns with the organization’s budget and that resources are used effectively.
- Conduct regular financial audits to prevent duplication of expenses and ensure responsible stewardship of the organization’s funds.
- Collaborate across departments to enhance communication, develop administrative policies, and standardize procedures.
- Train staff in the use of standardized software, offer ongoing support, and provide recommendations for process improvements to increase operational efficiency.
- Act as a key resource for continuous improvement initiatives, supporting the overall mission and growth of RTS.
- Deep understanding of the philanthropic and charitable sectors.
- Proactive problem-solver with a strategic mindset and strong attention to detail.
- Ability to manage multiple priorities in a dynamic, fast-paced environment.

- Bachelor's degree in business administration, Non-Profit Administration, or a related field required.
- A minimum of three years of experience in operations management, preferably in the non-profit sector.
- Proven experience in supervising staff and managing complex, multi-faceted projects.
- Excellent organizational, decision-making, and leadership skills.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and office management software.
