Job Description
Answer incoming calls to the college's Student Services line (252) 862-1200 and effectively route calls to other offices on campus as needed. Schedule a wide variety of activities (appointments, meetings, travel reservations/accommodations, facility usage, etc.) for internal customers as well as external stakeholders and groups. Provides general support to visitors. Provides administrative support to the Dean of Students Affairs and Student Affairs Division, which includes scheduling, meeting coordination, material preparation, data entry, making travel arrangements, processing expense reporting, and other general administrative tasks. Identifies scheduling conflicts and provides regular scheduling updates to the Dean. Manages Outlook calendar appointments for the Dean and team. Coordinates meeting and event registration and logistics, which includes securing space, arranging food refreshments, preparing materials, and confirming participant reservations and attendance. Prepares a variety of documents (correspondence, agendas, minutes, event programs, reports, etc.) to communicate information and/or create documentation in paper and/or electronic format. Maintains up-to-date records, which include files, contact lists, and database entries. Participates in event planning as required. Prepare mailings and packages for delivery.
Minimum Qualifications
Associate degree from a regionally accredited institution. Two (2) or more years’ office experience required; customer service experience preferred. Proficiency in word processing and spreadsheets. General knowledge of office practices and excellent attention to detail. Willingness to accommodate requests for support outside of regular business hours on occasion, with appropriate notice.
