**Job Overview:**
We are seeking a wonderful Office Manager to join our team. The ideal candidate will be the first point of contact for new and current clients, providing exceptional customer service and administrative support. Our clients are incredibly important to us, so amazing phone etiquette, caring and empathetic listening skills, and clear thinking skills and critical in this role.
**Responsibilities:**
- Greet and welcome guests in a professional and friendly manner
- Answer and direct phone calls using proper phone etiquette
- Follow phone scripts to correctly onboard new clients
- Correctly handle incoming emails and faxes
- Utilize firm software and send correct paperwork to complete new client onboarding
- Coordinate with our billing company to ensure all client information is updated and claims and copays are paid
- Keep training manuals updated and train new therapists on office systems, protocols, software and other areas
- Keep HR files updated and organized
- Work will with our awesome team of Therapists
- Task tracking and follow-up skills
- Manage inquiries from clients, visitors, counselors, and employees
- Maintain a tidy office
- Perform data entry and clerical duties with attention to detail
- Coordinate projects as assigned by management
- Social Media skills are a plus but can be trained
- Understand and keep up with legal requirements as they pertain to a counseling practice
- Understand and keep up with Health Insurance requirements as they pertain to a counseling practice
**Qualifications:**
- Computer literacy with proficiency in Microsoft Office Suite
- Experience in customer service or receptionist role preferred
- Familiarity with medical office procedures is a plus
- Familiarity with medical billing is a plus
- Strong organizational skills for effective office management
- Ability to handle multiple tasks simultaneously
- Excellent communication skills and phone etiquette
- Knowledge of basic phone systems
- High Emotional Intelligence
