Position Summary:
Schedule patient appointments, maintain physician schedules, and provide friendly and helpful customer service to patients, providers, and staff. Cross-train as a Medical Receptionist. Function as an integral member of the interdisciplinary care team in providing the highest quality of care to patients.
Primary Responsibilities:
- Communicate with patients primarily over the telephone. Answer telephone calls in a professional and courteous manner; exhibit excellent telephone etiquette
- Schedule patient appointments in accordance with established procedures and provider preferences
- Verify new patient registrations and follow-up on appointment requests submitted through the patient portal
- Serve as the primary point of contact between patients and providers; notify patients of changes in provider schedules or when a provider leaves the practice
- Meet with providers to establish schedules; create provider templates; work closely with providers to create appointment codes
- Maintain and update provider schedules to ensure patients are scheduled properly
- Accurately maintain, record, and report provider hours; Track PTO,EIB, CME, etc, for providers; Document coverage for provider absences
- Other duties as assigned
Secondary Responsibilities:
Provide Medical Receptionist coverage as needed:
- Greet and register patients for medical appointments in a welcoming and professional manner
- Accurately maintain patient accounts by obtaining, recording, and updating patient personal information (including DOB, address, and phone number)
- Collect, scan, and enter insurance information; verify insurance information with every visit
- Collect patient co-pays and payments on account balances; work closely with the business office to collect back balances and or resolve billing issues
- Verify HIPAA privacy forms with every visit; update expired forms
- Complete end-of-day tasks including printing the daily journal and accurately balancing it with collections and securing collections in the lock box
- Document failed appointments in accordance with established procedures
- Answer and transfer phone calls
- Process cases in Athena
- Process buckets in Athena
- Distribute mail to physicians and nursing staff; fax documentation
- Manage multiple priorities while maintaining accuracy and attention to detail
- Communicate with difficult patients. Successfully manage patients and families in stressful or conflict situations
Position Qualifications:
- One year of receptionist and/or scheduling experience in a medical setting preferred
- High school diploma or equivalent required
- Excellent computer skills required
- Knowledge of medical terminology preferred
