We are seeking a highly organized and proactive Executive Assistant (EA) for a contract-to-hire opportunity in the Cedar Valley. The ideal candidate will provide administrative and strategic support to senior leadership, managing complex calendars, coordinating meetings, handling confidential information, and ensuring the smooth operation of daily activities. Key Responsibilities
- Calendar Management: Maintain and prioritize complex schedules for senior executives, including organizing meetings, appointments, and travel arrangements.
- Communication Liaison: Serve as the point of contact for internal and external stakeholders, drafting correspondence and facilitating communication on behalf of the executives.
- Event Coordination: Plan and prepare for meetings, conferences, and special events, including preparing agendas, materials, and logistics.
- Document Management: Create, edit, and organize key documents and presentations, ensuring accuracy and professionalism.
- Research and Reporting: Compile, analyze, and present data or research as requested by leadership to aid in decision-making.
- Expense Management: Process invoices, reimbursements, and expense reports in alignment with company policies.
- Office Administration: Support broader office functions, including inventory management, vendor coordination, and other duties as needed.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality in all aspects of the role.
Qualifications:
- Previous experience as an Executive Assistant or in a similar administrative role (minimum of 3 years preferred).
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and other relevant tools (e.g., Zoom, Teams).
- Exceptional organizational and time management skills, with the ability to manage multiple priorities effectively.
- Strong written and verbal communication skills.
- Ability to work both independently and as part of a team.
- High level of professionalism and discretion.
- Bachelor’s degree in business administration or a related field is preferred but not required.
