We’re seeking a motivated Front Desk Coordinator to join our dynamic team! Key Responsibilities
As the Front Desk Coordinator, you will be responsible for:
- Professionally handling multi-line phone systems to answer inquiries, direct calls, and take detailed messages.
- Managing patient scheduling, appointment reminders, and check-ins.
- Greeting patients warmly and ensuring a welcoming atmosphere.
- Verifying insurance information accurately and addressing any discrepancies.
- Processing patient co-pays and reminding patients of outstanding balances.
- Scanning, faxing, and organizing medical and administrative documents.
- Bilingual: Must be fluent in Spanish, Portuguese and Creole to effectively communicate with our diverse patient base.
- Proven experience in customer service, administrative support, or a similar role in a healthcare setting is preferred.
- Familiarity with healthcare scheduling software (e.g., ERP or CRM systems) and Microsoft Office Suite (Microsoft 365).
- Ability to multi-task, prioritize assignments, and maintain professionalism under pressure.
- Strong interpersonal and communication skills with attention to detail.
- Efficiently manage incoming calls via a multi-line telephone system.
- Schedule appointments and send reminders to clients.
- Welcome visitors, ensuring a detail-oriented and welcoming environment.
- Register visitors and patients upon arrival.
- Verify insurance coverage and process co-pays.
- Monitor any outstanding balances and inform clients accordingly.
- Ensure all documents are accurately scanned and faxed as needed.
- Keep organized files and records.
- Utilize Microsoft Excel, Microsoft Word, and Microsoft Outlook to manage data and communications.
- Use Spanish language skills for translation and communication with Spanish-speaking clients.
- Apply basic office skills to ensure smooth day-to-day operations.
- Minimum of 2 years experience as a Front Desk Coordinator or similar role
- Proficiency in Administrative Assistance tasks
- Experience in Answering Multi-Line Phone System
- Strong Customer Service skills
- Proficiency in Data Entry tasks
- Excellent Interpersonal Skills
- Proficient in Microsoft Excel, Outlook, and Word
- Experience in Organizing Files
- Fluency in Spanish Language is a plus
- Experience in operating Fax machines
- Possesses Basic Office Skills
- Ability to Verify Insurance details accurately
- Experience in making Reminder Calls to clients or patients
- Proficient in Checking Patients' details and records
- Experience in Check-In procedures
- Ability to Schedule Appointments effectively
- Experience in managing Scheduled Appointments
- Proficient in handling Patient Appointments
- Experience in handling Copays
- Ability to perform Spanish Translation, if required.
