We are seeking an Operations Assistant to join our team in Ventura, California. The role encompasses a broad range of operational duties, such as liaising with vendors and suppliers, aiding with client meetings, and managing office supplies. This role offers a contract to permanent employment opportunity.

Responsibilities :

• Work together with service providers and suppliers to fulfill operational needs
• Supervise the upkeep of office equipment and coordinate office deliveries
• Facilitate the organization of client meetings, including catering and tech setup
• Provide assistance during client meetings to ensure a positive client experience
• Participate in document management, including filing and records maintenance
• Help with data entry tasks and scanning projects
• Keep track of office supplies inventory and place orders when necessary
• Carry out errands such as mail pick-ups / drop-offs and buying office necessities
• Participate in the upkeep of employee records and coordinate onboarding for new staff
• Assist with benefits administration, including enrollment and addressing benefits-related inquiries
• Aid the recruitment process by screening resumes and scheduling interviews
• Organize company events and training sessions to enhance employee engagement
• Undertake additional tasks and responsibilities as required to achieve organizational objectives.
• Minimum of 3 years of experience in an operations role
• Proficiency in using ADP - Financial Services
• Experience with CRM systems for customer relationship management
• Strong data processing skills
• Familiarity with Epic Software
• Experience with ERP - Enterprise Resource Planning tools
• Proficient in About Time software
• Auditing skills with a keen eye for detail
• Proficiency in check processing
• Excellent communication skills, both written and verbal
• Knowledge of compliance standards and regulations in the industry.
