Responsibilities: Provide comprehensive administrative support to the construction team, including project managers, engineers, and contractors, to ensure smooth project execution.Handle and organize essential project documentation such as permits, contracts, and compliance forms, utilizing Adobe Acrobat and DocuSign for efficient electronic signature management.Coordinate and schedule meetings, both virtual (via Zoom) and in-person, while maintaining clear communication among all stakeholders.Create, update, and manage construction schedules, reports, and related documentation using Microsoft Excel.Prepare and maintain daily logs and detailed site activity reports to track work progress effectively.Facilitate correspondence by managing incoming and outgoing emails, phone calls, and mail using Microsoft Outlook.Support financial oversight by tracking project budgets, invoices, and purchase orders.Arrange and confirm appointments, as well as coordinate site visits for the construction team.Collaborate with team members through Microsoft Teams to ensure seamless project coordination and updates.Maintain organized and accessible filing systems for project-related documentation, both in physical and digital formats.Assist in ordering office supplies to ensure an appropriate stock of materials for on-site needs.Perform additional administrative tasks as required to support efficient site operations.
