Job Summary : The Technical and Regulatory Administrator is responsible for developing, maintaining, and verifying technical and regulatory documentation while ensuring compliance with state, federal, and customer requirements. This role supports quality assurance, regulatory adherence, and data management, playing a key role in operational success through collaboration across multiple departments.
Key Responsibilities and Skills :
Creation and Maintenance of Technical Documentation :
- Develop technical data sheets, allergen reports, nutritional profiles, GMO reports, kosher certificates, and ingredient statements.
- Input nutritional data into ESHA software, validate results, and generate reports.
- Maintain HACCP lists for packaging, raw materials, and finished products.
- Conduct and validate risk analyses for raw materials to ensure safety and compliance.
- Support R&D teams with research requests and formulation development. Facilitates new product launches by managing technical inputs and ensuring accurate data integration.
Data Verification and Reporting :
Implement and manage a triple-check procedure for all documents to ensure accuracy and regulatory compliance.Generate reports such as country-of-origin certifications and regulatory compliance documentation, ensuring accuracy and consistency.Regulatory Compliance :
Complete required regulatory documentation, including Free Sale Certificates, Certificates of Origin & Sanitation, and Certificates of Conformance (COC).Ensure compliance with FDA and FSMA standards, interpreting and implementing new regulatory changes.Collaborate with QA to support research and tasks related to compliance with FDA, FSMA, and other regulatory requirements.Maintain an annual review, update, and verify all processes, programs, SSOPs, and forms related to technical requirements.Vendor and Supply Chain Management :
Maintain accurate Qualification manual, Questionnaire and records for raw materials and vendor compliance documentation, including records of raw material technical information, including allergen, nutritional, HACCP, SQF, and other certifications.Collaborate with purchasing on special projects to research and maintain supply chain records, ensuring alignment with compliance standards.Food Safety and Defense Oversight :
Collaborates on development and implementation of food safety protocols, including preventive controls, inspections, and sampling, to meet FDA and FSMA requirements.Participate in food safety incident investigations and contribute to effective corrective actions.Quality Assurance and Support :
Assist with audits, including preparation for SQF certification, and maintain CAPA logs for addressing quality findings.Actively participate in regulatory compliance audits, ensuring adherence to policies and procedures.Customer and Internal Communication :
Research and respond to documentation and technical requests from internal teams and external customers.Prepare and complete customer-specific documentation and TraceGains requests.System and Data Management :
Manage data entry into systems like OrderTime and TraceGains, ensuring accurate documentation of formulations, packaging details, and compliance information.Ensure product traceability through effective documentation systems to support quick responses during audits or recalls.Training and Education :
Deliver training sessions on compliance topics such as HACCP, FSMA requirements, and regulatory changes to enhance organizational alignment with standards.Backup Support :
Serve as the backup for QA and QC Administrator roles, ensuring seamless operations during absences or increased workloads.Continuous Improvement :
Monitor and evaluate regulatory trends, integrating best practices to continuously enhance compliance and operational efficiency.Education and / or Work Experience Requirements :
Bachelor's degree in Food Science, Regulatory Compliance, or a related field.3 years of experience in food manufacturing or regulatory compliance.Proficiency in software like ESHA, TraceGains, and OrderTime.Certifications such as PCQI or HACCP are highly desirable.
