We are offering a long-term contract employment opportunity for a Workplace Experience Coordinator in Lexington, Massachusetts. The focus of this role lies within the field of administrative support, specifically related to workplace experience services. The successful candidate will be expected to undertake a variety of tasks, ranging from processing customer inquiries to managing office materials and supplies.
Responsibilities
- Oversee the delivery of workplace services, ensuring a high level of customer satisfaction
- Facilitate coordination of office changes
- Handle reception duties, including welcoming clients and guests, managing front desk reservations, and administering ID/badge distribution
- Maintain and manage quality and retention of program materials, adhering to brand guidelines
- Manage databases and digital tools associated with service delivery
- Handle shipping and receiving of packages, and maintain pantry stocks
- Operate and set up printers, ensuring they are ready for use
- Provide administrative support for the Workplace Experience team, including invoice processing, travel arrangements, expense reporting, and equipment care
- Respond to customer inquiries in a timely and detail oriented manner
- Manage building and equipment services requests as needed.
- Strong customer service skills to ensure a positive experience for all visitors and staff
- Excellent communication skills, both written and verbal, to ensure clear and concise communication across all levels of the organization
- Proficiency in office functions, including documentation, billing, and materials handling
- Advanced Microsoft Excel and Word skills for data management and document creation
- Experience in conducting training and implementing procedures to improve workplace efficiency
- Familiarity with database management for efficient data storage and retrieval
- Knowledge of Human Resources (HR) Administration to support HR-related tasks
- Proficient in Microsoft Outlook for effective email communication and calendar management
- Understanding of insurance processes and procedures
- Familiarity with the software 'About Time' for efficient timekeeping and project management
- Demonstrated leadership skills and the ability to take initiative
- Experience in a production environment would be advantageous
- Ability to perform receptionist duties, including handling incoming calls and managing visitor traffic
- Awareness of security protocols to ensure a safe working environment
- Experience in managing vendors, including negotiation and relationship management
- Familiarity with onboarding processes to support new hires
- Ability to handle correspondence professionally and efficiently
- Experience in performing ad hoc financial tasks as required
- Competence in digital tools and platforms to support a variety of tasks in a modern workplace.
