Position Summary:
The Robert Rauschenberg Foundation (RRF) is seeking a Temporary Office Administrative Assistant to provide essential support across various administrative and office functions. This role involves assisting with reception duties, office coordination, event planning, IT vendor coordination, and general administrative tasks. The position will ensure the smooth operation of daily activities, support team coordination, and act as a key point of contact for internal and external stakeholders. Additionally, the Administrative Assistant will serve as backup support to the Executive Assistant in managing the needs of the Executive Director, COO, and Interim COO offices. This role will help with scheduling, correspondence, document preparation, and other administrative tasks, while contributing to the overall efficiency of the Foundation's operations and providing critical support for day-to-day activities
Key Duties and Responsibilities:
- Greet visitors, answer phone calls, manage guest check-ins, and handle incoming and outgoing packages.
- Maintain an organized and welcoming reception area.
- Assist with scheduling meetings and coordinating appointments for various team members.
- Help with maintaining office supplies, restocking essentials, and ensuring inventory is up to date.
- Support coordination with IT vendors for scheduled support, troubleshooting requests, and handling equipment logistics.
- Assist with internal event lead in planning and coordinating internal and external events, including managing logistics, communicating with vendors, and supporting event setup and breakdown.
- Provide administrative assistance with the management of the Foundation's calendar, helping with scheduling and resolving conflicts.
- Serve as backup support for the Executive Assistant by helping manage calendars and organizing meeting logistics.
- Assist with general office administration, including handling mail, maintaining office cleanliness, and performing basic office support tasks.
- Help with vendor coordination for office maintenance or repair needs, ensuring the office is properly maintained.
- Provide support for various departments specifically, Facilities, Operations, HR and Finance with administrative tasks, scheduling, and document organization.
- Assist with preparing and organizing materials for meetings, events, and other office functions.
- Support staff communication by assisting with email distribution and internal announcements.
- Assist with filing, document management, and maintaining an organized office environment.
- Additional support duties may be assigned based on the needs of the foundation.
Key Skills & Experience:
- 1 years of administrative or office coordination or relevant work experience, with a focus on support and coordination
- Strong organizational skills and the ability to manage multiple tasks efficiently.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills, both written and verbal.
- Detail-oriented, proactive, and able to take direction and work independently.
- Ability to roll up sleeves and proactively manage competing priorities.
- Ability to carry 50 pounds
ADA Specifications:
- Requires the ability to use a computer and office equipment traditionally found in office settings.
- The ability to traverse stairs.
- The employee must be able to lift up to 40 pounds at times.

Compensation & Benefits:
This is a temporary, non-exempt position. Base pay range is $20.00 - $22.00 per hour.
