Join our team, where you'll play a key role in keeping our projects running smoothly — ensuring accurate billing, maintaining compliance, and supporting project execution. Reporting directly to the Controller, you’ll work closely with project managers, vendors, and clients to manage financial documentation, track project schedules, and maintain compliance with contract terms.
Key Responsibilities:
Billing & Financial Coordination:
- Prepare, review, and submit accurate progress billings (AIA G702/G703) based on contracts and completed work.
- Monitor accounts receivable, follow up on outstanding invoices, and ensure timely payments.
- Assist in preparing cost reports and financial forecasts for projects.
- Review contracts for compliance with billing requirements and payment terms.
Project Coordination & Compliance:
- Set up new projects in internal systems and ensure all necessary documentation is in place.
- Establish project accounts with suppliers and provide proper tax documentation.
- Act as a liaison between project managers, clients, subcontractors, and vendors to ensure smooth communication and issue resolution.
- Track project progress, coordinate schedules, and update stakeholders on key milestones.
- Ensure compliance with insurance, permits, and lien waiver requirements by coordinating with vendors and the insurance broker.
Financial & Administrative Support:
- Maintain accurate project files, contracts, and billing records.
- Assist in monthly reconciliation of bank statements, credit card statements, and balance sheet accounts.
- Prepare financial summaries and project status reports for management.
- Crosstrain with HR on time and attendance processes.
- Other duties as assigned.
What You’ll Bring:
- Education: Bachelor’s degree in Business, Construction Management, Accounting, or related field required.
- Experience: 2-5 years in billing, accounting, or project coordination—construction industry experience preferred.
- Technical Skills: Proficiency in accounting software & Microsoft Office Suite (Excel, Word, etc.); familiarity with construction management software (Procore, Viewpoint, Sage Construction, etc.) is a plus.
