The incumbent is responsible for providing assistance to the Registrar in fulfilling general administrative duties in the Records Office and supporting the curriculum faculty and staff in the Registrar's absence or as needed.
Detailed Work Activities
The incumbent has the following duties and responsibilities :
Assistant Registrar
- Serving as the Assistant to the Registrar
- Assisting the Registrar in the maintenance, accuracy, completeness, and the security of all student records
- Processing National Student Loan Clearinghouse Data
- Assisting with planning, managing graduation and degree audit process with direction from the Registrar
- Flagging students with academic disadvantages
- Verifying student to other colleges and agencies if students have been in good standing, probation or suspension
- Assisting with grade changes, adds and drop forms Responsible for processing transcript requests
- Preparing enrollment verifications when the National Student Clearinghouse is not feasible
- At the beginning of each semester, notifying students with incompletes about RCC's regulations and policies concerning incompletes
- Maintaining and updating data in the student information system for curriculum records
- Processing Stop Outs each semester
- Responsible for deregistration process and notifying purged students
- Primary contact with company that handles graduation memorabilia
- Ensuring appropriate collection, retention and disposition of student-related records in accordance with federal, state and college policies.
- Responsible for transcript evaluations and awarding of transfer credits
- Participating in staff meetings called to expedite the business of the college
- Being responsible for assigned committee memberships
- Performing any other duties as assigned by the Registrar or Dean of Enrollment Management and of Student Support Services

Qualifications
Bachelor's degree from a regionally accredited institution. A minimum of (3) years of professional experience, preferably in a community college setting, or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Preference : Experience using the Colleague system and strong technical skills.
Knowledge, Skills and Abilities
The incumbent must meet the following minimum qualifications :
Education
A minimum of a Bachelor's degree from a regionally accredited institution is required.
Experience
A minimum of three (3) years progressively responsible experience in a college setting.
Other
Must demonstrate leadership and team building qualities, excellent organizational skills, an understanding of admissions principles and marketing expertise. Must be able to work a flexible, alternate work schedule to include evenings and weekends.
