We are seeking a highly motivated Field Service Administrator for our Service Company. This position reports to the General Manager in Trussville, Alabama. This team member will serve as the receptionist or first-line liaison to internal and external contacts and provide a variety of office support.

We are seeking a highly motivated Field Service Administrator for our Service Company. This position reports to the General Manager in Trussville, Alabama. This team member will serve as the receptionist or first-line liaison to internal and external contacts and provide a variety of office support.
What you’ll do
Accounting Support
- Forward/scan accounting documents/invoices rec’d in mail to accounting staff.
- Use the ERP system to handle large volumes of data: creating/editing simple databases, inputting data, retrieving records, and generating reports.
- Maintain W-9s and sales tax exemption certificates; send certificates to suppliers as requested.
- Assist in the management of inventory and shop supplies.
- Maintaining a Maintenance and Certification log of shop equipment.
- Forwarding payments to the lockbox and providing customers with directions on proper payment.
Office Support
- Take and distribute notes during meetings.
- Manage office, PPE, and first aid supply inventory, placing orders as necessary.
- Answer phones and greet visitors in a professional manner.
- Ensure the smooth operation of office systems (computers, camera, security, phone), coordinating repairs and maintenance when needed.
- Maintain and oversee various records for Robinson Service.
- Provide day-to-day administrative support as required.
What You Bring
- A high school diploma is required, and a degree in business or a related field is preferred.
- 2 years of relevant experience preferred.
- Strong attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to follow through on tasks and projects.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Ability to proactively identify and address needs.
- Capable of multitasking and prioritizing in a fast-paced environment.
- Well-organized and able to manage time effectively.
