The Executive Assistant reports to the Company President & CEO. The role will play a key role in executive support, leadership support, and department management.
Position Responsibilities
- Provide specialized administrative support of complex details, preparing presentations, meeting minutes, following up on action items and other correspondence.
- Maintain and manage the president’s complex calendar to optimize time and efficiency in alignment with business goals, anticipating conflicts and proactively resolving issues.
- Independently and proactively coordinate travel arrangements, developing itineraries and agendas.
- Handle financial functions, including but not limited to invoicing, managing expenses and creating and managing departmental budget/s.
- Represent the president by welcoming visitors, arranging company dinners and/or catering needs.
- Address internal and external inquiries, acting as a liaison between the President, other depts and external partners.
- Assist members of the executive leadership team and department leaders with ad-hoc needs, including meeting logistics, scheduling, travel and p-card purchases.
- Supervise reception operations, as well as training and development of reception personnel.
- Manage confidential and sensitive information with discretion and professionalism.
- Assist with special projects and initiatives, as assigned by the president.
- Exercise judgement in making day-to-day decisions when alternatives are limited.
Other Competency Requirements Include
- Bachelor’s degree in business administration, communication or related field required.
- Experience as an Executive Assistant in a high-volume and fast-paced environment.
- Advanced technological fluency across a wide range of tools and platforms including Microsoft Office applications.
- Ability to rapidly adapt to changing environments and anticipate the needs of the organization.
- Effective Communication: Exceptional listening, verbal and written communication skills are required.
- Ability to develop strong working relationships with RHC employees.
- Collaborate with department leaders, managers and their team members to respond to the needs of the department.
- Experience: Minimum of five years of relevant experience supporting C-Suite level executives.
- Time Management: Ability to work on multiple tasks at a time, prioritizing needs and acting with a sense of urgency.
- Ability to follow-up on any pending or unresolved actions or issues towards timely completion and resolution.
- Analytical/Problem Solving: Ability to research solutions and best practices to improve company performance.
- Ability to understand the flow of business, working in a proactive manner.
- Must be a proven self-starter requiring minimal supervision.
- Demonstrated strong and effective verbal, written, and interpersonal communication skills.
