JOB TITLE : Grants and Contracts Administrator

DEPARTMENT : Office of the Provost

REPORTS TO : Provost

POSITION SUMMARY : The Grants and Contracts Administrator provides strategic leadership, supervision, and advancement for faculty and staff in the development and administration of externally funded grants, contracts, sponsorships, and related revenue opportunities to support RCU's priorities and mission. This position works collaboratively with cross-functional teams, and oversees the full lifecycle of grants, including pre-pre award, pre-award, and post-award processes. This position ensures compliance with funder requirements, facilitates the preparation of competitive proposals, manages awarded grants, and ensures proper reporting and closeout of funding. This position requires the abilities to work independently, problem-solve, and manage competing priorities and deadlines. The successful candidate is a leader who has the capacity to develop and work collaboratively with team members from various departments and has an in-depth knowledge of Excel and other Office products.

EDUCATION AND / OR EXPERIENCE REQUIRED :

  • Bachelor's degree (Master's degree or higher preferred) and 3-5 years of grant administration experience, including pre-award and post-award processes, and / or higher-level financial activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Provide pre-pre award, pre-award, and post-award support to the RCU academic enterprise.
  • Collaborates with program, finance, and leadership teams to maximize funding opportunities and maintain compliance with grant guidelines.

  • Identify and evaluate potential grant opportunities from government agencies, private foundations, and other funding sources.

  • Monitor funding trends and identify alignment with organizational goals and programs.
  • Pre-Award
  • Lead the grant proposal process, including narrative writing, budget creation, and assembling required documents.

  • Coordinate with internal teams to gather programmatic, financial, and operational information for proposals.
  • Ensure grant proposals meet submission guidelines and deadlines.
  • Collaborate with finance teams to develop accurate and compliant budgets.
  • Ensure proposals comply with federal, state, and private funding requirements.
  • Submit grant applications through appropriate platforms (Grants.gov, private portals).

  • Review award documents and ensure terms and conditions are understood and communicated to stakeholders.

  • Set up grant tracking systems to monitor budgets, deliverables, and reporting deadlines.
  • Monitor grant-funded activities to ensure they align with the approved scope of work.
  • Track expenditures and ensure spending adheres to budget and funding guidelines.
  • Prepare and submit interim and final performance and financial reports.
  • Maintain communication with funders regarding progress, changes, and compliance issues.
  • Ensure grant closeout activities, including final reports and audits, are completed accurately and on time.
  • Archive grant documentation for future reference and compliance audits.
  • Promote an inclusive RCU through demonstration of our Diversity Statement. Participate in developmental activities to increase understanding and awareness of issues related to diversity, equity and inclusion both individually and as related to the field of work, profession or discipline.
  • REQUIRED SKILLS & ABILITIES :

  • Experience working in higher education sectors.
  • Strong knowledge of and experience with grant management platforms.
  • Proficiency in budgeting and financial reporting.
  • Excellent organizational, communication, and analytical skills.
  • Familiarity with Uniform Guidance and other federal regulations.
