Job Summary
The Client Coordinator will manage client interactions, ensuring a positive experience for pet owners, and supporting the smooth day-to-day operations of the clinic. The Client Coordinator will be the first point of contact for clients, responsible for scheduling appointments, answering inquiries, and maintaining communication between clients and the veterinary team.
Duties/Responsibilities:
· Greets and assists clients in a professional, friendly, and compassionate manner, both in person and over the phone.
· Coordinates medical information between the medical team and the clients.
· Reviews doctor’s notes to build medical service estimates and charges.
· Discusses medical charges with the client.
· Maintains accurate client and pet records in the hospital's management system.
· Processes client payments, including billing and insurance claims.
· Coordinates with veterinary technicians and veterinarians to ensure all information is communicated effectively and appointments are managed appropriately.
· Handles client concerns or complaints with empathy and professionalism, escalating issues as needed.
· Monitors and manages client communications via phone, email, and messaging platforms.

Department: Clinic (Back Office) FLSA Classification: Exempt/Non-Exempt
· Performs other related duties as assigned.
Required Skills/Abilities:
· Excellent communication and interpersonal skills, with a compassionate and patient demeanor.
· Strong organizational skills and the ability to multitask in a fast-paced environment.
· Proficiency with office software, client management systems, and other technology tools.
· Knowledge of veterinary terminology, procedures, and general animal care is a plus.
· Ability to handle sensitive information with confidentiality and discretion.
· Flexible schedule availability, including weekends or evenings, as required by the clinic.
Education and Experience:
· High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.
· Previous experience in customer service, veterinary care, or healthcare administration preferred.
Physical Requirements:
· Ability to sit for long periods while working on a computer or answering phone calls.
· Ability to stand and move around the clinic to greet clients, assist with inventory management, and perform other tasks.
· Ability to lift and move objects up to 25 pounds (e.g., pet food, supplies)
· Ability to hear and communicate effectively with clients and staff in person and over the phone.
· Ability to see and read computer screens, documents, and other written materials.
· Ability to work in a fast-paced environment with frequent interruptions and distractions.
