QUALIFICATIONS:
- High School Diploma and excellent command of the English language.
- General office experience preferred.
- Good basic computer skills and aptitude to learn software programs used in this position.
- Ability to work with interruption, discretion in working with confidential data, and ability to positively handle the multitude of student, staff, and parental contacts by phone and in person.
- Regular, reliable and punctual attendance required.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Assistant Principal; Supports all building administrators.
JOB GOAL: To maintain accurate, up-to-date attendance records and to communicate as necessary with student, staff, and parents to insure and effective attendance policy.
PERFORMANCE RESPONSIBILITIES:
- Make and/or receives telephone calls and/or messages from parents concerning tardiness and absences. Writes passes and ensures students sign in and out as required. Maintains accurate school attendance records for all student absences including excused, unexcused absences, medical exempted, administrative exempted, suspended, reassigned and dropped students. Maintain all associated documents related including but not limited to roll reports.
- Provides information, verbal and written, to staff, students and parents concerning student attendance records.
- Accurate entry and revisions to Student Emergency Cards and Military Opt-Out forms.
- Follows the District’s “Administration of Medication” protocol and complies with Health Department regulations and other related agencies; maintains all records related to administration of medication and student illness/injuries; under the direction of the building principal, works in conjunction with the district nurse with administration of medical procedures as defined in a student’s Medical Management Plan; and works with student enrollment personnel to update student immunization records.
- Produces ID badges for students and staff, issues and maintains accurate records of Staff Parking Passes for building staff.
- Provides assistance to injured/ill students who report to the office; assists with health/injury emergencies in a prompt, appropriate manner, contract administration in all emergency situations. Makes contact with appropriate parties concerning injury/illness; and monitors clinic supplies, as needed. Processes all accident reports.
- Prepare and distribute OTECH/Traveling Student List. Notify all OTECH/Traveling Students of changes in the school schedules (i.e. ½ days, exams/assemblies, etc.). Coordinates changes in bus transportation for OTEC/Traveling students with the District’s transportation provider(s).
- Compiles and maintains building reports such as parent/teacher conference data at the request of Building Administrators.
- Serves as one of the most accessible, positive public relations advocates for the school and District by interacting appropriately with visitors, staff, and students; answering question; relaying messages, and following through with problem resolution through various forms of communication to include but not limited to answering phones calls, responding to emails, and addressing walk in visitors.
- Serves as back-up for other building secretaries and support staff per the direction of building administrators.
- Performs other duties as requested.
TERMS OF EMPLOYMENT:
- 10.5* month position, typical months/year.
- 8* hours per day.
- Salary and benefits as per Master Agreement for Classification I.
WORKING CONDITIONS:
- An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
- Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required.

Microsoft Office Current District Version: Intermediate Word and Excel, and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests, Sentence Clarity, and Spelling. Encounter Software: Interpersonal/Teamwork Assessment
